About The Position

As the Clinical Care Specialist, the role's primary function is to create the initial connection with all guests and ensure that the Core Value of tenacious caring is upheld from the moment they enter the clinic until they exit. This is achieved by understanding the value of communication, offering a helpful hand, and relating to individual needs. The role leads registration, benefits verification, and check-out procedures, including collecting guest payments at the time of service and leading end-of-day closing procedures. A genuine welcome is provided to guests, leading hospitality efforts by maintaining a courteous, attentive, and professional manner. Guest confidentiality and the security of Protected Health Information (PHI) are paramount, requiring a comprehensive understanding and continual compliance with HIPAA regulations. The role also leads customer service protocols to ensure each guest departs with all questions answered and the check-out procedure complete. General office duties such as mail distribution, maintaining the accuracy of the change till, and replenishing lobby refreshments are also part of the responsibilities.

Responsibilities

  • Lead registration, benefits verification and check out procedures.
  • Collect guest payments at time of service.
  • Lead the end-of-day closing procedures.
  • Provide a genuine welcome to guests and lead hospitality efforts by maintaining a courteous, attentive and professional manner.
  • Maintain guest confidentiality and ensure PHI is secure at all times.
  • Obtain a comprehensive knowledge and working understanding of HIPAA regulations and continual compliance.
  • Lead customer service protocols to ensure each guest departs with all of their questions answered and check out procedure complete.
  • Lead office duties including distribution of mail, maintain change till for accuracy, replacement of refreshments in lobby and other general office duties as assigned.
  • Facilitate guest flow by notifying providers and other team members of guests’ arrival, having awareness of delays, and providing continual communication with all.
  • Provide assistance to new guests, update existing guest demographics, collect personal and financial information, and gather payments.
  • Answer phones, return calls and schedule appointments in professional and timely manner while following all protocols.
  • Verify benefits information for guests and obtain test precertification/authorizations when necessary.
  • Responsible for opening and closing clinic and for maintaining a clean and organized lobby throughout the day.
  • Assist guests as needed.
