About The Position

Under the supervision of the Practice Operations Supervisor/Manager, the Medical Receptionist I role ensures a welcoming and professional environment for patients and visitors while performing administrative tasks to maintain efficient practice operations. Responsibilities include greeting and registering patients, managing phone calls, scheduling appointments, collecting payments, processing forms, and updating the computer system. The role promotes a professional practice image by facilitating smooth patient flow and supporting business and clerical functions.

Requirements

  • Strong interpersonal and customer service skills.
  • Proficiency in computer skills, including Microsoft Office Suite, data entry, and electronic health record systems.
  • Thorough understanding of medical receptionist responsibilities and basic medical billing.
  • Ability to maintain confidentiality and protect PHI.
  • Knowledge of proper cleaning and sterilization guidelines for instruments.
  • Strong analytical and problem-solving skills with attention to detail.
  • Excellent written and verbal communication skills.

Responsibilities

  • Greet and register patients for appointments, ensuring completion of necessary paperwork and confirming or updating insurance coverage and demographic information.
  • Act as a patient relations representative, addressing inquiries in person or by phone within the scope of medical practice policies.
  • Register new patients in the computer system and scan/copy relevant documents (e.g., insurance cards, ID) for their records.
  • Verify medical insurance coverage and document benefits information prior to patient visits.
  • Collect patient balances and co-pays, track and record payments, and assist patients with benefits-related questions.
  • Support incoming calls and correspondence, including scheduling and confirming appointments, triaging calls for the clinical team, and providing operator coverage as needed.
  • Update and maintain current information on physicians’ schedules, ensuring proper patient scheduling and appointment confirmations.
  • Follow up on patient no-shows and send reminder notices when necessary.
  • Maintain accurate file systems for insurance eligibility lists and office forms (e.g., return-to-work forms, informed consents, prescription pads).
  • Retrieve, route, process, and file information received via fax, mail, or other sources (e.g., disability forms, prescription requests) in accordance with policies.
  • Accept and sign for mail, parcels, and deliveries per office policy.
  • Ensure the front desk and waiting areas are clean, organized, and presentable.
  • Coordinate patient movement and report any irregularities to the supervisor.
  • Adhere to confidentiality and security policies (HIPAA) when handling patient information.
  • Coordinate specialist referrals and assist with obtaining interpreters or arranging transportation services when required.
  • Attends required meetings and training sessions.
