About The Position

Responsible for performing highly responsible varied or specialized administrative office support work which involves a variety of difficult work procedures or specialized substantive work. Follows the Behavior Health Program Policy and Procedures referral and appointment processes to ensure clients receive and appointment with appropriate program professionals in a timely and professional manner with respect given to age and culturally competent services. The Medical Receptionist is the first level in a career path design for medical administration services. Advancement to Medical Receptionist requires working knowledge of the terminology and procedures used in the area of assignment and the ability to research and extract information from commonly used databases, record work-in-progress data to support research and reporting, enter data to specialized files such as Electronic Health Records (EHR).

Requirements

  • High school diploma
  • Two (2) years of general clerical and keyboarding experience in a customer service-oriented environment
  • Knowledge of HIPAA requirements
  • A valid driver’s license and must be eligible for the Tribes’ vehicle insurance
  • Must maintain clearance throughout employment
  • Working knowledge of office practices, procedures and equipment, including filing systems, receptionist and telephone techniques, and letter and report writing
  • Working knowledge of personal computer-based software that support this level of work, including but not limited to Excel, Word, and Electronic Health Records (EHR)
  • Sufficient arithmetic skills to compute sums and statistics
  • Sufficient skill using the English language, grammar, spelling, punctuation, proofreading/editing, to prepare standardized correspondence
  • Sufficient human relations skills to present a positive image of Tribe, convey technical information to others, and use patience in dealing with a diverse population
  • Ability to perform all of the duties of the position in a high-volume environment that may be dominated by distractions
  • Able to perform clerical and secretarial work with speed and accuracy
  • Able to learn, understand and apply Tribal and agency rules, regulations and policies
  • Ability to plan, organize and prioritize work in order to meet schedules and timelines
  • Ability to use a personal computer to produce correspondence, informational materials, and conduct basic research
  • Ability to maintain confidentiality of private and sensitive information
  • Ability to maintain productive and cooperative relationships elders, co-workers, tribal employees, external organizations, and the public using patience and courtesy
  • Ability to communicate effectively verbally and in written format
  • Ability to work independently and with limited supervision as well as in a team environment

Responsibilities

  • Directs and maintains an extensive specialized record-keeping operation
  • Function as a confidential secretary
  • Assist Mental Health and Alcohol units as needed
  • Plan and organized office workflow to meet the needs of the program
  • Meets, greets and assists clients in preparing for their appointments
  • Collects client information, demographic, medical records and insurance information
  • Assures accuracy of patient information in Electronic Health Records
  • Assists clients by providing information about HHS Program Services, providers, referrals and other services
  • Answers incoming calls and either assists or transfers to the appropriate contact
  • Logs all information collected
  • Utilizes appropriate schedule codes in scheduling office medical procedures, for patients with appropriate provider and time/location slot
  • Provides support in maintaining and updating patient medical electronic records
  • Directs clients to appropriate areas for appointments and will walk clients to area or arrange for personnel to meet client at reception area
  • Works as a team member with clinical and non-clinical staff
  • Adheres to professional conduct, ethics, and confidentiality at all times
  • Directs and participates in the workflow of the office to meet deadlines and the level of quality requested by the supervisor
  • Takes referrals following the Behavioral and Tribal Health Programs Policies and Procedure’s referral and appointment processes
  • Assists Office Staff with clerical tasks such as managing clerical activities of an assigned unit; maintain the budget documents, recommending transactions to meet present or anticipated needs; monitors inventories and the purchasing requisitions for materials, and vouchers for payment
  • Provides confidential secretarial duties; responds to personal, telephoned, or written inquiries of citizens and government, industrial, or community leaders and officers; screen callers and determines proper referral of callers using tact and diplomacy; maintains EHR calendar of appointments
  • Provides a full range of secretarial duties such as taking and typing notes of meetings, longhand, shorthand, speed writing, tape recording, and editing, while properly describing content and important decisions made
  • Provides support to the clinical team and other health workers
  • Performs other related duties as assigned that support the objective of the position
