About The Position

The Medical Receptionist Floater will travel to designated locations as assigned weekly by the Regional Manager. This role provides coverage for Patient Representative, Switchboard, and Surgical Coordinator roles during PTO, FMLA, and open positions. The position also supports the operations department with special projects, new staff training, and participation in merger and acquisition training and Go-Live support.

Responsibilities

  • Travel to designated locations as assigned weekly by the Regional Manager.
  • Report directly to the Regional Manager; when on site, report to the Practice Site Administrator (PSA).
  • Provide coverage for Patient Representative, Switchboard, and Surgical Coordinator roles during PTO, FMLA, and open positions.
  • Support the operations department with special projects and new staff training.
  • Participate on site with operations department for merger and acquisition training and Go-Live support.
  • Prepare the office in the morning by turning on all office equipment; take phones off service and collect messages from Answering Service.
  • Answer incoming calls, book appointments for physicians and take messages when necessary.
  • Schedule appointments for Physicians, Audiology, and Allergy services.
  • Generate daily schedules for the following day, update schedules throughout the day, and maintain accurate weekly logs (e.g., no-shows, double bookings).
  • Greet incoming patients and ensure completion of all required paperwork.
  • Verify and accurately enter patient demographics and insurance information (e.g., DOB, SSN, address) in a timely manner, completing any remaining entries by end of day.
  • Scan all patient paperwork into EHR system.
  • Verify insurance coverage and patient information at each visit and ensure records are updated.
  • Ensure that all HMO patients have a valid referral before being seen.
  • Create and update patient’s Nextgen and EHR charts.
  • Collect and distribute all incoming faxes, mail, and deliveries.
  • Maintain a clean and orderly waiting room for patients.
  • Ensures phones are on Service, informs service who is on call and locks all doors.
