About The Position

This role is for an experienced Medical Practice Manager ready to lead busy on-site ENT/allergy specialty practices across Glen Mills, Chester, and Media, PA, with 7 physicians and a 37-person team. The manager, based in the West Chester area, will regularly cover all three offices. The position involves owning the daily operating rhythm, financial and performance picture, and process improvements for the practices, with support from a growing physician-led specialty-care platform. This is not a first-time manager role; the ideal candidate has prior medical practice leadership experience and is ready to take on broader ownership, partner effectively with physicians, and enhance the operating model for both clinical and clerical teams. The role reports to a Group Practice Manager and collaborates closely with practice physicians and operational leadership in an active, patient-centered, and fast-moving environment. The position requires balancing urgent daily needs with longer-term improvements in workflows, staffing, financial performance, compliance, patient experience, and team communication.

Requirements

  • Prior medical practice management experience.
  • 5+ years of healthcare management or progressive healthcare leadership experience, ideally in a physician practice or ambulatory specialty setting.
  • Understanding of the financial aspects of practice management, including labor, supplies, volume, staffing, scheduling, and expense control.
  • Strong grasp of practice operations, patient flow, revenue cycle partnership, compliance expectations, and provider support.
  • Ability to lead through busy, chaotic days without losing sight of larger operational priorities.
  • Skill in managing multiple priorities and projects while staying close to daily office operations.
  • Experience improving practice processes.
  • Ability to build credibility with physicians, clinical staff, clerical staff, and senior operational leaders.
  • Hands-on, accountable, and collaborative approach.
  • Ability to create order without a fully built playbook.
  • Must be authorized to work in the United States; sponsorship is not available.

Responsibilities

  • Lead day-to-day operations for a 37-person ENT/allergy specialty practice across Glen Mills, Chester, and Media, including physicians and team members across clinical and clerical functions.
  • Ensure smooth practice operations during busy clinic days, managing competing priorities, staffing needs, patient-flow challenges, and physician requests.
  • Maintain strong operating discipline across scheduling, coverage, office workflows, supplies, communication, service expectations, and practice policies.
  • Identify operational bottlenecks and implement practical improvements to enhance practice consistency, efficiency, and collaboration.
  • Develop, reinforce, and improve standardized procedures for clarity and consistency in practice operations.
  • Own the financial operating picture of the practice, evaluating labor, supplies, volume, staffing patterns, overtime, scheduling, and spending to support financial success.
  • Utilize data, reports, and performance metrics to identify trends, make recommendations, and take action to improve practice performance.
  • Balance patient access, physician productivity, team capacity, and cost management in daily decisions.
  • Partner with revenue cycle, billing, and operational leaders to support strong financial processes.
  • Lead and support a multidisciplinary team through clear expectations, accountability, coaching, training, and follow-through.
  • Recruit, onboard, develop, and supervise practice staff across front-office, clerical, clinical, and provider-support functions.
  • Foster stronger collaboration between clerical and clinical staff, addressing friction points in handoffs, communication, or processes.
  • Navigate interpersonal dynamics with professionalism, good judgment, and a focus on shared solutions.
  • Ensure the practice operates as one team while recognizing the distinct needs of front-office, clinical, and physician stakeholders.
  • Work effectively with experienced physicians, including those with strong personalities and high expectations.
  • Serve as a trusted operational partner who can listen, problem-solve, communicate clearly, and follow through.
  • Translate physician and team feedback into practical operational improvements while maintaining standards and accountability.
  • Prioritize patient experience, access, and service quality in operational decisions.
  • Address patient feedback and concerns with professionalism and a problem-solving mindset.
  • Support compliance with healthcare regulations and standards, including HIPAA, OSHA, safety protocols, and internal policies.
  • Utilize EHR and practice management systems for scheduling, workflows, reporting, and operational visibility.
  • Coordinate with compliance, billing, revenue cycle, and other support teams to align practice operations.

Benefits

  • Base salary range: $90,000–$115,000
  • Annual performance bonus opportunity: up to 5% of base, contingent on the practice meeting budget
