Family Health West is hiring Medical Office Specialists for Clinics at Primary Care and Physician Services. This role involves communicating the scheduling and patient process, collecting and documenting patient demographics, verifying insurance eligibility, and collecting appropriate copays. The specialist will also receive and post payments, provide efficiencies in scheduling and managing patients, and assemble patient forms. Maintaining a strong organizational structure, workflow, and operating procedures for the medical practice is key. The role requires knowledge of medical practice principles, practices, and procedures, as well as efficient and polite handling of incoming and outgoing calls, with documentation in the EHR. Alerting supervisors to insurance issues, promoting Family Health West programs, and completing scanning into patient charts are also responsibilities. Direct patient contact includes assisting with intake registration, escorting patients, and assisting physicians. Fiscal responsibility, reliable attendance, and strong communication skills (oral and written) are essential. The specialist will follow up on patient referrals, call for authorization for Worker’s Compensation patients, submit for authorization of treatment/procedures, and prepare/send referrals/documentation to outside providers. Requesting and scanning documentation from outside providers into the Medical EMR, accessing records from QHN and paper versions, and participating in staff meetings are also part of the role. Maintaining knowledge of programs like Patient Portal, EMR, QHN, and Gmail, training new hires, and complying with Competency Audits and Trainings are expected. Other job-related duties may be assigned.
