About The Position

This role is responsible for greeting and assisting patients, managing patient information and records, scheduling appointments, processing referrals, handling financial transactions, and maintaining communication within the medical office. The position requires adherence to regulatory, professional, and safety standards, as well as effective communication and computer skills.

Requirements

  • Ability to read and communicate effectively in English.
  • Demonstrates basic computer skills and knowledge consistent with the needs of their department.

Responsibilities

  • Greet and assist patients with signing in for appointments
  • Obtain and accurately enter new patient information, including insurance details, into the EMR
  • Update patient records annually and ensure all forms are current, including HIPAA
  • Assist patients presenting to the front desk for questions or miscellaneous needs
  • Notify clinical staff of patient arrivals as appropriate
  • Check out patients after appointments and schedule follow-up visits
  • Schedule patient appointments and manage provider schedules
  • Complete FollowMyHealth registration for patients
  • Process referrals in a timely manner, including documenting contact attempts, scheduling appointments, scanning referral forms, and notifying referring providers
  • Obtain written patient authorizations to request medical records from other providers or facilities
  • Manage and balance the cash drawer twice daily
  • Collect co-pays and deductibles at the time of service
  • Answer phones, check messages, and relay information appropriately
  • Scan and upload documents into the EMR; maintain the fax server daily
  • Assist pharmaceutical representatives and coordinate scheduling
  • Perform additional duties as assigned by the office manager or provider
  • Completes annual educational requirements within the assigned time frame.

  • Maintains and ensures patient confidentiality at all times.

  • Knows the limitations of their license/certifications and does not practice outside these limitations.
  • Maintains cleanliness of equipment and department
  • Responsible for the safe handling of equipment as well as maintaining safety for themselves.
  • Knows the proper procedure for calling codes and the proper response for each code according to department protocol (i.e. fire, lock down, infant abduction, bomb threat, etc.)
  • Knows the proper procedure for reporting incidents involving the patient, visitor or employee.
  • Knows where to find MSDS information when needed.
  • Is aware of hazards and hazardous materials and how to maintain a safe environment.
