About The Position

This role is for a Medical Office Receptionist at the Women's Care Clinic, a growing OB/GYN practice. The position offers work/life balance hours, with the clinic closed on U.S. Holidays. The environment is community-oriented and fosters a sense of teamwork. The receptionist will be responsible for patient check-in and check-out, appointment scheduling, handling patient information and payments, preparing patient charts, managing records, and communicating with patients regarding appointments and policies. The role requires strong computer skills, knowledge of clinic procedures, and excellent customer service abilities.

Requirements

  • High School Diploma or equivalent
  • Be an outgoing individual with a friendly attitude
  • Have strong attention to detail
  • Be able to multi-task front desk job responsibilities for a busy Family Practice/Internal Medicine Clinic
  • Must have outstanding communication, interpersonal, customer service, and organizational skills
  • Have knowledge of insurance authorization/billing requirements
  • Have demonstrated strong customer service and communication skills
  • Have organizational and time management skills
  • Be proficient computer skills
  • Have knowledge of clinic procedures and regulatory requirements
  • Possess a strong work ethic and a high level of professionalism
  • Be a team player who handles multiple projects simultaneously in a fast-paced environment

Nice To Haves

  • Medical experience in a Healthcare setting
  • Bilingual in English / Spanish
  • Six months Business Office Customer Service experience

Responsibilities

  • Performs patient check-in at the time of visit and completes all necessary paperwork to ensure an efficient admitting process and compliance with clinic and regulatory policies.
  • Answers phone calls and directs them appropriately.
  • Schedules appointments according to office guidelines.
  • Obtains accurate patient and insurance information, collecting copays and deductible amounts.
  • Copies/scans patient access related hard copy materials into the correct location in the electronic medical record.
  • Prepares charts for patient appointments, ensuring all necessary information is complete.
  • Conducts all functions associated with patient check-out, including pricing services, collecting patient responsibility payments, and scheduling follow-up appointments.
  • Performs duties involving record filing and retrieval and assisting with the filing of registration documentation in electronic medical records.
  • Confirms next day appointments and alerts patients about needed documentation and time-of-service payment details.
  • Follows up with patients regarding the Missed Appointment Policy and sends appropriate communications.
  • Performs other duties as assigned.
