About The Position

Arise Staffing/Kelfas Services is currently seeking two temporary full-time Medical Office Clerks to support the Behavioral Health Clinic and Human Resources Department at A.T. Augusta Military Medical Center in Fort Belvoir, Virginia. Serves as a medical office clerk to process and maintain inpatient, outpatient, or ambulatory procedure unit medical records. Required to compile, extract, or locate medical information/data to ensure medical record accountability and availability in accordance with DoD and medical service standards.

Requirements

  • High School diploma or General Educational Development (GED) equivalency.
  • Basic medical terminology required.
  • Minimum of six (6) months of experience within the past year working in a healthcare or medical office environment.
  • Minimum of six (6) months of customer service experience, preferably in a healthcare setting.
  • Working knowledge of automated computer systems and basic familiarity with military healthcare systems.
  • Experience performing administrative support functions, including clerical duties, data entry, record maintenance, and statistical reporting using automated data processing (ADP) systems.
  • Proficiency with common office software applications, including word processing programs, electronic file management, database searches, record retrieval, and information transmission.
  • Ability to create, maintain, organize, and retrieve electronic records and generate reports in various formats, including statistical, narrative, tabular, and graphical reports.
  • Strong verbal and written communication skills, with the ability to read, write, speak, and understand English fluently in order to effectively communicate with patients, providers, and healthcare staff.
  • Excellent organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced healthcare environment.

Nice To Haves

  • Will need to obtain a Basic Life Support Certification through the AHA or ARC before starting work.

Responsibilities

  • Receive telephone calls and visitors, ascertain the nature of the call or visit, and obtain identifying information.
  • Determine the nature and urgency of the patient’s request.
  • Apply Clinic guidelines concerning the release of patient information and refer patients to the appropriate staff member.
  • Verify patient eligibility for treatment through the Defense Eligibility Enrollment Reporting System (DEERS) and check the patient’s military ID card.
  • Verify third-party insurance with all non-active-duty beneficiaries.
  • Ensure completeness of proper documentation and issuance of the third-party insurance card if necessary.
  • Schedule and coordinate appointments for patients with various clinics.
  • Ensure treatment Requested by the physician has been scheduled and rescheduled when necessary.
  • Ability to cross-train across all departments within the directorate, to include Child and Adolescent, Adult Behavioral Health, and Addictions.
  • Coordinate the scheduling to avoid conflict in different clinic schedules.
  • Obtain and review medical records of patients before scheduled appointments.
  • File laboratory results, X-ray, and any other test results in the medical records of patients before scheduled appointments.
  • Record a variety of physician orders on a timely basis to various charts, identifying various chemical compounds, symbols, and abbreviations comprising medication orders.
  • Assure proper completion and filing of forms in medical records before forwarding the medical records to the medical records room.
  • Interview new patients.
  • Determine the nature of the visit and provide information on the appointment, the clinic hours, and services.
  • Refer ineligible patients to the Patient Administration Division.
  • Perform a variety of other duties, clinical support, and clerical duties, e.g., compiling data for reports, maintaining the waiting area in a neat and orderly manner, providing clinic orientation to Red Cross Volunteers and newly assigned personnel, and forwarding information to the organizational elements for inclusion in recurring reports.
  • Perform other administrative duties customary to the administrative position.
  • Type a variety of narrative and tabular material (e.g., correspondence reports, technical papers) into automated equipment utilizing the full range of keys, codes, proofing symbols, functions, and applications to develop products in a final form.
  • Correct errors in grammar, spelling, and punctuation; refers to dictionaries, style manuals, and established typing/correspondence policies for the organization's services.
