About The Position

Performs a variety of medical office support services for Outpatient Services. Primarily responsible for routine office functions, preparation of billing forms, scheduling, insurance authorizations, preparation of surgical instrument trays and assistance at patient care activities not requiring direct physician supervision. Participates in a patient-centered care team that focuses on coordinated care for individual patients, supporting patients and families to manage population health, utilizing evidence-based methodologies.

Requirements

  • High school graduate.
  • Completion of one year training as a Medical Assistant preferred.
  • Minimum three years experience as a Medical Office Assistant preferred.
  • Experience with coding helpful.
  • Basic Life Support (BLS) required within 90 days of hire date.
  • Category I exposure: Tasks involve exposure to blood, body fluids or tissues.

Responsibilities

  • Performs routine office functions including scheduling, insurance authorizations, and preparation of billing forms.
  • Prepares surgical instrument trays and assists at patient care activities not requiring direct physician supervision.
  • Participates in a patient-centered care team to manage population health.
  • Handles check-in functions: prepares daily schedules, answers calls, prepares charts, obtains and updates patient demographic information, sorts and distributes mail.
  • Handles check-out functions: makes appointments, prepares orders for testing, obtains prior authorizations, provides patient instructions and education, documents follow-up and appointments.
  • Assists with billing by verifying demographic information, ensuring encounter forms are complete and accurate, and tracking encounters.
  • Provides patient support: prepares patients for exams/procedures, takes vitals, performs phlebotomy (if competent), prepares surgical instruments, assists providers during exams/procedures, handles prescription renewals and medication reconciliation, performs ancillary testing (EKG, spirometry), performs waived testing, phones patients with pertinent information, tracks outstanding results/referrals/authorizations, and follows waste disposal protocols.
  • Works with care team members to ensure patients receive appropriate education, referrals, medications, and preventative care.
  • Manages medical documentation: transcribes notes, updates medical records, files/scans results, and processes medical records requests.
  • Participates in care team activities, including meetings and electronic messaging, and contributes to performance evaluation and quality assurance.
  • Assists Administrator, providers, nurses, and other staff with practice-related functions.
  • Maintains professional behavior and appearance.
  • Ensures patient, co-worker, and self safety, including OSHA compliance.
  • Attends all annual mandatory educational programs, including modules on population health, effective patient communication, and AIDET.
  • Demonstrates patient-centeredness by satisfying customer/patient needs in a friendly and caring manner, being attentive to needs, and maintaining communication for a secure and pleasant experience.
