About The Position

The Medical Office Assistant will participate in and monitor the delivery of all medical office assistant functions within the Student Wellness Centre (SWC), which is an interdisciplinary Primary Health Care site. Reporting to the Director, Student Health and Wellbeing, and the Office Administrator for administrative duties, and to the Nurse Practitioner for clinical duties, with day-to-day guidance from the physician and nursing personnel, this position supports clinical operations. This position is of moderate complexity, constantly prioritizing multiple tasks. The position will be assisted by clinical staff in determining appropriate action for complex issues and decisions. Works independently and receives general supervision.

Requirements

  • Completion of Grade 12
  • A recognized post-secondary Medical Office (Administrative) Assistant Certificate
  • Current medical terminology training
  • Digital transcription training
  • Two to five years of related experience providing clerical/administrative support within a fast-paced and highly dynamic office environment, preferably in a university or medical clinic setting
  • Transcription and word processing skills
  • Proficient skills in the use of Med Access EMR and Microsoft Office applications
  • Experience in collecting and analyzing patient data
  • Exceptional interpersonal and communication skills, both written and verbal
  • Demonstrated ability to deal compassionately with students, staff, and the public regarding sensitive issues
  • Demonstrated initiative and attention to detail
  • Demonstrated ability to interact effectively with young adults
  • Proven proficiency in all aspects of clerical and medical office assistant work
  • Demonstrated effective organizational and time management skills
  • Proven ability to work on multiple projects with competing demands to meet deadlines
  • Ability to effectively work both independently and collaboratively in a highly confidential team environment
  • Thorough knowledge and understanding of medical terminology
  • Proficient spelling and grammar skills
  • Proven computer skills including keyboarding and proficiency with electronic medical records and Microsoft Office Software are essential
  • Confidence in the ability to learn and use new technology is essential

Responsibilities

  • Greeting patients in waiting room and escorting them to exam room
  • Preparing patients for physical exams
  • Preparing rooms for procedures
  • Cleaning of rooms following procedures
  • Cleaning and autoclaving equipment
  • Collecting and testing urine sample
  • ECG testing
  • Maintaining the tidiness of the workspace
  • Aiding and assisting physicians and nurses as required
  • Ordering and stocking of supplies
  • Booking follow up appointments and appointments with specialists
  • Medical billing
  • Performing other clerical and medical duties as assigned
