About The Position

The Medical Office Assistant is responsible for coordinating the clerical aspects of patient services to ensure completeness and continuity of care. This role handles all functions during the patient check-in to clinical areas and the check-out process, including scheduling appointments, registration, acquiring referral authorization, collecting payments, and managing patient correspondence. The position requires maintaining office equipment and supplies, and potentially assisting with interpreting services. The role also emphasizes professional behavior, teamwork, and participation in quality assurance initiatives within a busy community health center environment.

Requirements

  • High School graduate or equivalent.
  • Willingness and ability to learn all aspects of job requirements.
  • High level of interpersonal and professional skills.
  • Bilingual required.
  • Moderate computer skills.
  • Proper telephone etiquette.
  • Good customer service skills.
  • Basic knowledge of managed care.
  • Knowledge of insurance plans.
  • Mostly sitting and walking.
  • Physical demands require lifting small office supplies (not over 25 lbs.).
  • Mostly sedentary with some walking within office and to and from other departments.
  • Visual acuity sufficient for frequent reading.
  • Hearing acuity sufficient for holding conversations with or without audio devices.

Responsibilities

  • Answers telephone calls, assists callers, and forwards calls as needed, ensuring overall service to the caller is completed.
  • Schedules patients for follow-up and specialist visits within the Health Center.
  • Schedules referral appointments at external referral specialties/facilities, ideally with the patient present.
  • Provides patient referral information to the referred facility according to the patient's insurance plan.
  • Acts as a liaison between BNHC, referral facilities/specialties, and patients.
  • Consults with other clinical staff as needed.
  • Provides complete, accurate, and adequate information to referred facilities and patients, both written and oral.
  • Maintains a tracking system for all external and internal referrals and follows up on appointments.
  • Checks patients in from registration areas to specific waiting areas before they are seen by providers.
  • Monitors waiting rooms and notifies patients and providers of any appointment delays.
  • Collects any additional patient copays and deductibles and balances the daily cash drawer and credit card receipts.
  • Serves as a liaison between BNHC clinical areas, patients, and other agencies to ensure continuity of patient care.
  • Communicates any patient issues received via telephone, voicemail, letters, or walk-ins to providers.
  • Assists with patient correspondence as directed.
  • May be required to gather clinical information for reporting needs.
  • May be called upon to assist providers with interpreting without notice.
  • Ensures proper use of all office equipment (fax, copier, PC, email, practice management software, printers, phones, voicemail, etc.) in accordance with office policy.
  • Maintains proper supplies for office equipment and immediately reports any malfunctions.
  • May perform other duties as assigned by supervisor or department head.
  • Attends meetings and seminars to stay informed about industry and department changes.
  • Maintains a professional environment in a multi-provider, multidiscipline organization.
  • Maintains a patient-centered environment to ensure patients' continuity of care and advocates for patients.
