About The Position

Under the direction of the Associate Health Director Programs, this position is accountable for reception and administrative functions within the Tla’amin Health clinic. The Medical Office Assistant works independently and is responsible for providing a high standard of support to the Nurse Practitioners and other clinical practice or programming as determined by the Associate Health Director Programs. The successful applicant will be required to work in accordance with the BCGEU Collective Agreement as well as the policies and benefits therein, in addition to all relevant Tla’amin Health policies and procedures. This position is open to applicants of all genders.

Requirements

  • Grade 12 education and completion of a recognized Medical Office Assistant (MOA) program, along with a minimum of one (1) year of recent experience in a medical or clinical office setting.
  • Knowledge of medical terminology and standard clinical office procedures
  • Demonstrated knowledge of privacy, confidentiality, and ethical standards related to the handling of personal and health information in a healthcare setting
  • Successful Criminal Record Check
  • First Aid & CPR certification (or willingness to obtain)
  • Valid Driver’s License and successful Driver’s Abstract
  • Strong computer literacy, including proficiency with electronic medical record (EMR) systems and the Microsoft Office Suite
  • Strong skills in data entry, electronic filing, and document management systems
  • Ability to adapt to and learn new technology and software tools
  • Excellent verbal and written communication skills, with strong interpersonal abilities
  • Effective organizational and time‑management skills, with the ability to prioritize in a busy work environment
  • Ability to maintain accuracy and attention to detail
  • Ability to exercise sound judgment and discretion
  • Ability to work independently and collaboratively as part of a team

Responsibilities

  • Performs all duties and responsibilities in accordance with Tla’amin policies, standards, practices and procedures to the highest standard.
  • Maintains confidentiality pertaining to members, clients, employees and general matters of the Nation.
  • Greeting patients and visitors in a professional and respectful manner
  • Scheduling appointments, managing calendars, and coordinating patient flow
  • Performing patient intake and maintaining accurate electronic and/or paper medical records
  • Preparing referrals, correspondence, and documentation as required
  • Managing phone calls, messages, and inquiries following established procedures
  • Processing forms and related administrative documentation
  • Maintaining strict confidentiality of personal and health information
  • Answer, screen and route incoming calls promptly and courteously
  • Monitor Nurse Practitioner’s schedules and keep Health Receptionist up to date on changes as required
  • Maintain an organized, clean and efficient work area
  • Maintaining strict confidentiality of personal and health information
  • Applying privacy, confidentiality, and ethical standards at all times
  • Supporting clinic operations in accordance with organizational policies and procedures
  • Performing other related duties
