About The Position

A medical office administrator is responsible for performing administrative and clerical duties within a health care institution, supplying physicians and medical professionals with patients' information, and coordinating with insurance companies. Medical office administrators handle the information and data management system to ensure the accuracy of patients' details, medical history, and treatment plans. They also schedule doctor appointments and cancellations, as well as monitoring the inventory of medical supplies. A medical office administrator submits payment reports, respond to patients' inquiries and concerns, and process billing disputes.

Requirements

  • High school diploma and 1-2 years related experience and/or training required
  • Previous customer service
  • Medical terminology, CPT and ICD 10 coding preferred

Responsibilities

  • Ensuring efficient and effective flow of patient access needs throughout the organization.
  • Responsibilities may include greeting and registering patient, gathering, and entering appropriate demographic and insurance/billing information, verification, scheduling appointments, providing patients with financial information, collection, and entry of payments.
  • Analyzes, interprets provider orders.
  • Completes scheduling for surgery procedures such as bone marrow, apheresis, and lumbar punctures.
  • Having knowledge of over 38 types of appointments patients may require having scheduled. Appropriately scheduling all aspects of each of these so patient and provider schedules have the appropriate time allotted.
  • Scheduling of chemotherapy administrations. These activities include scheduling complex oncology appointments including labs, Physician office visits, chemotherapy, injections, and diagnostic procedures. Makes schedule changes as they may occur on patient schedules or providers schedules. Ensures an accurate and safe schedule for the clinic.
  • This individual works closely with the providers, nursing staff, and other care team members to schedule accurate and safe treatments for the patient.
  • Scheduling of radiologic testing including PET, CT, Audiograms, and Pentamidine treatments.
  • They would communicate with patients continuously with appointment updates. They would handle phone calls regarding patient appointments. Confirm treatments have an authorization prior to scheduling treatment appointments.
  • Obtain insurance authorizations for the bone marrow and lumbar punctures.
  • Obtain necessary documents and or testing for patients.
  • Relay messages to providers, nurses, and support staff.
  • Coordinates all aspects of the referral process, inducing referral activity in the office between the patient, physician, specialty office, primary care office and the insurance company.
  • Manages electronic health record referral/order work queues according to office/provider preference and the needs of patients.
  • Coordinates and schedules referral activity.
  • Obtain accurate billing and demographic information.
  • Manages and schedules patient to appropriate clinic within the 5 currently available clinic: Survivorship clinic, Sickle Cell comp clinic, Hemophilia Comp clinic, Lakeland clinic, Oncology Comp clinic.
  • Manages and schedules patients to appropriate support groups within the 3 currently available support groups; Oncology support group, Sickle Cell Support Group, Sickle cell parent support group.
  • Attends Chemotherapy rounds, adjusting appointments as discussed and requesting Beacon update as needed.
  • Manages the Beacon Scheduling/Appointment request WQ, Referral WQ and the Diagnostic Test WQ, No Show WQ, Cancellation WQ, Waiting list WQ.
  • Responsible for switching patients from an outpatient appointment to inpatient appointment as provider, nursing staff request.
  • Manages and maintains paper charts for each patient, including creating new chart, labeling the chart for oncology and psychology patients.
