About The Position

Performs a variety of clerical functions and tasks related to the business and staffing offices within long term care. This role involves answering telephones, collecting and distributing mail, compiling reports, entering information into EMR, greeting visitors, operating office equipment, performing business office functions, managing inventory, preparing and processing insurance claims and social security checks, preparing paperwork for admissions and discharges, providing information about services, and managing resident trust accounts. The position may also involve assisting with staffing schedules and LTC store operations.

Requirements

  • H.S. Diploma or General Education Degree (GED) Required
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Actively looking for ways to help people.
  • Talking to others to convey information effectively.

Responsibilities

  • Answer telephones, and direct calls to appropriate staff.
  • Collect, sort, distribute, or prepare mail, messages, or deliveries.
  • Compile reports, and correspondence.
  • Enter appropriate information in EMR.
  • File and maintain records.
  • Greet visitors, ascertain purpose of visit, and direct them to appropriate staff.
  • Hear and resolve complaints from customers or direct them to the appropriate person to handle their concern.
  • Operate office equipment such as fax machine and copier.
  • Perform business office functions and administrative support tasks.
  • Perform various clerical and administrative functions, such as ordering and maintaining an inventory of supplies.
  • Prepare and process insurance claims for long term care insurance companies.
  • Prepare and process social security checks for all ICF residents.
  • Process and prepare memos, correspondence or other documents.
  • Process and prepare paperwork for ICF/SNF admissions and discharges, enter information into EHR.
  • Provide information about services provided via tours, phone calls, email.
  • Receive and route messages and documents such as incoming faxes to appropriate staff.
  • Regular and reliable attendance.
  • Create, manage, and balance resident trust accounts.
  • Develop, assist with staffing schedules as needed.
  • Assist with LTC stores, to include ordering, delivery, stocking, as needed.
  • May assist with other Klein Center duties as assigned, per department needs.
