About The Position

The Medical/Main Receptionist serves as the primary point of contact for patients and visitors at a healthcare facility, ensuring a welcoming and efficient front desk experience. This role is critical in managing patient flow, scheduling appointments, and handling sensitive medical information with confidentiality and professionalism. The receptionist coordinates communication between patients, medical staff, and external parties, facilitating smooth operational processes. They are responsible for maintaining accurate records, managing phone and in-person inquiries, and supporting administrative tasks that contribute to the overall patient care experience. Ultimately, this position plays a vital role in enhancing patient satisfaction and supporting the healthcare team’s effectiveness.

Requirements

  • Previous experience in a receptionist or administrative role, preferably in a medical or healthcare setting.
  • Familiarity with electronic health record (EHR) systems and basic computer proficiency.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion and professionalism.

Responsibilities

  • Greet and welcome patients and visitors promptly and courteously upon arrival.
  • Manage appointment scheduling, cancellations, and rescheduling using electronic health record (EHR) systems.
  • Answer and direct incoming phone calls, respond to inquiries, and provide accurate information regarding services and procedures.
  • Maintain patient records and ensure confidentiality in compliance with healthcare regulations and privacy laws.
  • Coordinate communication between patients, healthcare providers, and administrative staff to facilitate efficient clinic operations.
  • Process patient check-ins and check-outs, including verifying insurance information and collecting co-payments.
  • Prepare and organize patient files, forms, and documentation required for medical appointments.
  • Manage office supplies and maintain a clean, organized reception area.
  • Support other administrative duties as assigned to ensure smooth daily operations.
