About The Position

The Medical Front Office Specialist is responsible for various medical front office tasks including answering the phone, scheduling appointments, collecting payment, and communicating with staff. This role requires developing and maintaining proficiency in the Practice Management System, greeting patients, updating patient information, answering phones, assisting with reception tasks, obtaining authorizations and referrals, verifying insurance eligibility, scheduling appointments, obtaining previous medical records, and resolving patient conflicts.

Requirements

  • Knowledge of reception tasks, clinic policies, procedures and paperwork.
  • Knowledge of the use of office equipment, including telephones and computers.
  • Knowledge of customer service concepts and techniques.
  • Skill in using office equipment satisfactorily and handing paperwork adequately.
  • Skill in customer service principles by creating a pleasant waiting room atmosphere.
  • Ability to communicate clearly in person and on the phone.
  • Ability to establish and maintain cooperative relationships with patients, families, physicians, staff and other customers.
  • Ability to organize and prioritize tasks effectively.
  • Ability to read, understand and follow oral written instructions.
  • High school graduation or GED.
  • Minimum of two years experience in a customer service setting.
  • Must pass a Drug screen and Background screening.

Nice To Haves

  • Preferably six months receptionist experience in health care setting.
  • Experience with office equipment preferred.
  • 50 wpm typing skill preferred.

Responsibilities

  • Develop and maintain proficiency in the use of the Practice Management System.
  • Greets patients in polite, prompt, helpful manner. Provides any necessary instructions/directions.
  • Updates patient information, provide any necessary forms needing completion, and obtains signatures as necessary.
  • Answers phones in a pleasant manner and deals with patients needs expeditiously.
  • Supplements office staff as reception tasks permit by assisting with photocopying, computer input, scheduling laboratory or radiology work as directed.
  • Obtains authorizations, referrals and verifies insurance eligibility.
  • Schedules various patient appointments as needed.
  • Obtains previous medical records, and necessary prior testing.
  • Addressing patient conflicts and resolving them accordingly.
