About The Position

Greets clients at the reception desk and manages a multi-line telephone system for the Ambulatory Section. Provides intake and scheduling services for clients.

Requirements

  • High School diploma or equivalent (Level I).
  • Experience in a medical setting preferred (Level I).
  • Three (3) years direct experience in a front office medical setting (Level II) OR Associate's Degree and two (2) years direct experience in a front office medical setting (Level II).
  • Demonstrate a commitment to the provision of culturally sensitive counseling services to American Indians.

Responsibilities

  • Understand and comply with HIPAA and other regulations concerning client confidentiality.
  • Greet clients in a courteous and friendly manner, demonstrating customer service skills including listening, clear verbal communication, empathy, and understanding of organizational protocol.
  • Identify clients using at least two identifiers.
  • Answer telephone courteously and efficiently, route calls, take accurate messages, and deliver them promptly. Document calls in the client's chart.
  • Schedule and coordinate appointments, confirming them by telephone and mail.
  • Attempt to deescalate client complaints and engage supervisors as needed.
  • Manage client schedule system for optimal provider time utilization and communicate schedule changes or problems.
  • Obtain client information such as age, insurance coverage, and symptoms, recording it on prescribed forms and copying insurance cards for the billing office.
  • Provide clients with patient plan documents upon checkout.
  • Operate photocopiers, fax machines, and other office equipment.
  • Communicate with clinical staff to facilitate efficient client flow and meet client needs.
  • Communicate any emergency immediately to appropriate clinical staff and initiate calling codes as appropriate.
  • Assist in scanning client information to the Electronic Medical Record if appropriate to the clinic site.
  • Collect correct co-payments and balance the cash drawer daily if appropriate to the clinic site.
  • Assist with the distribution of client medications and maintain appropriate logs if appropriate to the clinic site, returning uncollected medications to the pharmacy within prescribed timelines.
  • Give general information about client care and answer the telephone.
  • Attend department meetings and other assigned meetings.
  • Maintain a professional, organized, and clean working environment.
  • Learn about the American Indian culture and attend at least one Cultural Presentation/Training per year.
  • Work with American Indian/Alaska Native people, demonstrating cultural awareness and humility.
  • Deliver services in a culturally responsive manner.
  • Adhere to accreditation and compliance standards/guidelines.
  • Assist with training new staff (Level II).
  • Assist in the development of departmental policy, procedures, and quality improvement activities (Level II).
  • Assume independent responsibility for a specific clinical activity or function, such as coordinating client recall groups (Level II).
  • Set up appointment schedules into the computer system (Level II).
  • Maintain GSA logs and other routine logs, directing them to appropriate locations at month's end (Level II).
  • Order office supplies (Level II).
  • Manage room requisitions and coordinate meeting space allocation (Level II).
  • Participate in accreditation preparation (Level II).
  • Acquire customer service certifications/training related to the role (Level II).
  • Partially cross-train to Medical Assistant, Client Records, or Member Services roles (Level II).
  • Participate in leadership/management training (Level II).
