About The Position

The Medical Education Coordinator will play a critical role in supporting physician education, sales training, and professional education initiatives that advance Instylla’s mission of delivering innovative embolization solutions that improve patient outcomes. Reporting to the Director of Sales Enablement & Professional Education, the Medical Education Coordinator will be responsible for the planning, coordination, logistics, and execution of physician training labs, sales training programs, and other educational events. This role will collaborate closely with Sales, Marketing, Clinical, Regulatory, and R&D teams to ensure high-quality, white-glove educational experience for physicians, faculty, and internal stakeholders. This role is ideal for someone who thrives in fast-paced, hands-on environments and enjoys building scalable education and training programs from the ground up.

Requirements

  • Bachelor’s degree required; degree in business, healthcare administration, communications, life sciences, education, or related field preferred.
  • Minimum of 1-3 years of experience in medical education coordination, event planning, sales training support, marketing, administrative coordination, or related field.
  • Experience supporting medical device, biotech, pharmaceutical, or healthcare professional education programs preferred.
  • Experience coordinating physician labs, clinical education programs, or healthcare-related meetings preferred.
  • Familiarity with medical device and healthcare compliance environments preferred.
  • Ability to travel domestically up to 30%.
  • Exceptional organizational and project management skills with strong attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
  • Experience coordinating logistics for meetings, training events, and travel.
  • Strong interpersonal skills with the ability to interact professionally with physicians, executives, sales teams, and external vendors.
  • Ability to work independently while also collaborating effectively across functions.
  • Problem-solving mindset with the ability to adapt quickly to changing priorities.

Nice To Haves

  • Experience supporting interventional radiology, oncology, vascular, or procedural-based medical specialties.
  • Prior experience coordinating animal labs or hands-on physician training programs.

  • Basic knowledge of adult learning principles and training best practices.

  • Familiarity with CRM systems (e.g., Salesforce) or other MedTech-specific software platforms.
  • Basic ability to evaluate training effectiveness through metrics analysis and tracking user engagement with digital tools.
  • Basic experience creating digital educational content such as voiceovers, flow diagrams, or interactive video, including familiarity with e-learning authoring tools (e.g., Adobe Captivate or similar).
  • Understanding of healthcare industry regulations and compliance standards related to educational events preferred.

Responsibilities

  • Operate with a high degree of ownership and accountability.
  • Coordinate physician education programs, including animal labs, hands-on workshops, didactic training sessions, and product demonstrations.
  • Manage logistics for educational events including venue coordination, travel arrangements, catering, materials preparation, purchase necessary equipment and accessories, equipment shipment, and vendor communication.
  • Provide hands-on support for live training events, including setup, breakdown, and onsite coordination to ensure seamless execution.
  • Support onboarding and training programs for new sales hires, including scheduling, curriculum coordination, training material distribution, and event execution.
  • Assist in the development and maintenance of educational materials, presentations, training manuals, and procedural guides; support digital learning initiatives and training platforms to expand the reach and accessibility of educational content.
  • Partner with cross-functional teams including Sales, Marketing, Clinical Affairs, Regulatory, and R&D to support educational strategy and training objectives.
  • Coordinate participation in national and regional medical conferences, workshops, and society meetings.
  • Maintain physician and employee training records, attendance documentation, training evaluations, and program metrics in compliance with company policies and applicable regulations.
  • Support the management of training inventory, demonstration products, lab supplies, and educational assets.
  • Track educational program budgets, purchase orders, invoices, and vendor contracts and ensure compliance with Sunshine Act.
  • Work with the Regulatory & Quality teams to ensure all training and educational activities are conducted in compliance with company policies, quality standards, and healthcare industry regulations.
  • Support continuous improvement initiatives for training programs by collecting participant feedback and identifying opportunities to enhance the learner experience.
  • Remain organized and solution-oriented in a fast-paced, high-pressure environment.
  • Assist with internal meeting coordination and special projects related to professional education and sales enablement.
  • Serve as a key point of contact for physicians, faculty members, sales representatives, vendors, and internal stakeholders regarding educational activities.
