About The Position

FlexStaff is seeking a Medical Coding Operations Manager for a dedicated PACE organization. This role involves spearheading the efficiency and effectiveness of Coding & Medical Practice operations, with a focus on providing the highest standard of coordinated care for frail and elderly participants. The position is a temporary-to-hire opportunity.

Requirements

  • At least five (5+) years of progressive experience in a Coding or Medical Practice office-related field.
  • Minimum of three (3) years in a supervisory role (preferred, but strong leadership skills are key!).
  • At least one (1) year of experience working with a frail or elderly population, or a strong commitment to receive specialized training upon hire.
  • Bachelor’s Degree in Business Administration, Health Administration, or a related field, OR a Medical Practice related Certification from a recognized organization (e.g., CPC, CPMA, CPPM, CRC).
  • Exceptional organizational, communication, and computer skills (typing, EMR proficiency).
  • Must be legally authorized to practice, medically cleared, and up to date on immunizations.
  • Available to consistently travel around all PACE sites on a regular basis.

Responsibilities

  • Supervise, evaluate, and continuously refine Coding & Medical Practice operations, driving efficiency and best practices.
  • Collaborate closely with DTC Physicians to rigorously review and enforce medical policies and procedures, ensuring consistent adherence.
  • Provide day-to-day supervision and mentorship to Medical Practice Staff, fostering a high-performance and supportive environment.
  • Oversee critical tracking processes for orders, notes, and medical records, ensuring timely signatures, follow-ups, and documentation.
  • Manage the meticulous scanning and uploading of all paper documents into the EMR system.
  • Guarantee that all participant medical appointments are scheduled and aligned with care plans and provider orders.
  • Act as the vital link between Medical Coding/Practice operations and clinical physicians/staff, promoting seamless communication.
  • Conduct chart audits and provide essential training to ensure accurate documentation and diagnostic coding.
  • Oversee diverse administrative duties including invoices, staff reimbursements, payroll coordination, site equipment maintenance, and Health Commerce System (HCS) management.
  • Handle critical site responsibilities such as weekly vehicle checks, site directory updates, and fire drills, ensuring a safe and organized environment.
  • Serve as an active participant in the Interdisciplinary Team (IDT), contributing to holistic participant care planning.
