Job Summary The Medical Assistant/Patient Services Representative (MA/PSR) will provide assistance to the clinician, mid-level clinician, clinic nurse(s), and patients. The MA/PSR provides basic clinical procedures to non-acutely ill patients, assists in maintaining supplies, provide quality patient care, ensure safe and clean patient care area, and perform other clinical duties and procedures prior to the clinician’s visit with the patient while assuring positive care outcomes. Supervisory Responsibilities: None

Requirements

  • Excellent communication skills – both verbal and written
  • Excellent customer service skills
  • Proficient in the utilization of an electronic medical record system preferred
  • Proficient in Microsoft Office Suite preferred
  • Bilingual/bicultural (Spanish) preferred
  • Medical assistant certificate or signed training on venipuncture, infectious control, patient privacy, basic anatomy and physiology by Registered Nurse or Physician
  • One year’s work experience Medical Assistant in a medical office preferred
  • Graduation from an approved Medical Assistant program
  • Minimum of 1 year of experience in medical front office operations preferred – including but not limited to registration process, use of medical terminology, medical insurance, and referral authorizations
  • Current BLS certification obtained through the American Heart Association or American Red Cross

Nice To Haves

  • National or CA Medical Assistant Certification preferred
  • Experience with the EPIC EHR system preferred

Responsibilities

  • Consistently project a professional and courteous demeanor, help establish and maintain the highest service standards for the medical clinic and complies with DAP Health’s policies and procedures
  • Demonstrate willingness to assist co-workers whenever needed.
  • Maintain good working relationships with all clinic personnel.
  • Provide compassionate quality care to the patients of DAP Health, within the scope of practice outlined by state or federal law
  • Deliver care in accordance with established standard of care and accepted community standards
  • Understand the organization's commitment to provide high quality patient care and promote a patient centered environment
  • Medical Assistants are responsible for knowing their scope of practice
  • Prepare charts, perform pre-visit planning, and participate in daily care team huddle
  • Obtain consents from patients for minor procedures
  • Ensure patient safety
  • Receives patients, takes and records chief complaint and prepares patient for examination; records blood pressure, pulse, respirations, pulse oximetry, height and weight
  • Prepare patients for examinations or procedures including positioning, draping, shaving and disinfecting treatment sites
  • Assist the provider in the collection of specimens such as pap smears and throat cultures
  • Explain to the patient the procedures followed in an examination, a diagnostic test or treatment at the request of clinic personnel
  • Collect specimens, perform EKGs, collect blood samples as requested by clinic personnel; assist the physician with examination, treatments, minor surgery, dressing changes and splinting
  • Perform simple laboratory procedures such as blood sugars and urine dips
  • Review patients record forms for accuracy and completion
  • Sterilize instruments and assume maintenance of diagnostic and therapeutic equipment.
  • Dispose of contaminated, disposable, and outdated items per protocol
  • Perform necessary vision screening and operates the oximeter, audiometer, nebulizer, and spirometer as directed
  • Assist with the patient flow during clinic hours
  • Prepare and replenish supplies in the treatment room and exam rooms; maintain exam rooms in an orderly and constant state of readiness for incoming patients
  • Check equipment to ensure proper functioning
  • Administer medications orally, topically, vaginally, rectally, subcutaneously, intramuscularly, intradermal
  • Demonstrate an understanding of and adhere to safety and infection control policies and procedures
  • Demonstrate an understanding of and adheres to privacy, confidentiality, and security policies and procedures related to Protected Health Information (PHI) or other sensitive and personal information
  • Show sensitivity to differences in culture; demonstrate a positive and supportive manner in which patients/families/colleagues perceive interactions as positive and supportive
  • Maintain positive working relationship with all DAP Health Medical Clinic staff to ensure the continuity of care to all patients
  • Complete all paperwork in a timely and efficient manner
  • Access patient-protected health information as required
  • Request and retrieve client files as needed
  • Route documents as required in the Electronic Health Record (EHR) System
  • Answer telephones and relays messages accurately and expeditiously
  • Interface effectively in a team environment with agency staff and volunteers
  • Handle crisis and stressful situations in an effective, calm, and respectful manner
  • Perform other duties as assigned
  • Greet and assist everyone who walks in the door with eye contact and a smile, ensuring everyone feels welcome and cared for
  • Register new patients and patients who have fallen out of care either in person or over the phone
  • Gather all documents required for new patient registration, ensuring accurate patient demographics and guarantor information at every patient visit
  • Identify patients who require program assistance and schedule patients with Care Coordinator Specialist for assessment and program enrollment
  • Answer incoming calls within 3-4 rings and make patient calls in a courteous and professional manner
  • Return voicemails by the end of the next business day
  • Schedule patient follow-up appointments, confirm upcoming appointments, and reschedule as indicated
  • Ensure that appropriate insurance is selected for services rendered for the date of the scheduled visit
  • Check patients in and out for scheduled or walk-in appointments
  • Ensure patients are empaneled according to provider of record and keep up to date with the provider's panel management
  • Assist and encourage patients with signing up for MyChart
  • Answer MyChart patient messages related to registration and/or appointment scheduling
  • Assist patients using tablets or other devices to obtain demographic information required to establish electronic record as needed
  • Run, review, and demonstrate understanding of insurance eligibility
  • Scan all information pertaining to registration into EHR
  • Monitor and respond to website inquiries requesting new patient information
  • Collect and turn in Release of Information (ROI) to HIM department
  • Collect applicable co-pays and outstanding balances at time of check in
  • Keep track of daily incoming documentation for providers
  • Follow up on no-shows and send out no-show letter as stated on no-show workflows
  • Advise Case Manager or EIS Worker when patients indicate need for linkage to internal/external resources (when applicable)
  • Keep supervisor informed of office equipment upkeep/maintenance
  • Complete appointment confirmation calls for unconfirmed patients 24 hours prior
