About The Position

This role is responsible for assisting physicians, PAs, or NPs with various tasks including clerical duties, patient flow and care, procedures, and scheduling hospital and ambulatory admissions. The position involves scheduling diagnostic tests, coordinating pre-admission testing, and ensuring all necessary information and consents are available. The Medical Assistant will also arrange and distribute surgery schedules, complete necessary patient forms, and communicate any issues promptly to supervisors. Key responsibilities include obtaining and documenting vital signs, reviewing and updating medication lists and allergies in the EHR, and understanding prescription control procedures. The role requires accurate order entry and appointment scheduling in the Practice Management System (PMS) and EHR, as well as timely processing of referrals and consult orders. Maintaining proficiency with department-specific equipment, troubleshooting malfunctions, and facilitating transitions of care to UCC/Hospitals are also part of the job. Additionally, the role involves a working knowledge of booking various procedures, arranging for specialty equipment, interacting with vendors, and understanding pre-admission testing data collection. A working knowledge of insurance and pre-certification requirements, as well as rescheduling and canceling procedures, is expected. The position also requires establishing and maintaining positive working relationships with physicians and nursing staff.

Requirements

  • High School Diploma or equivalent, required.
  • Medical Assistant Certification Required.
  • Heart saver certification required.
  • Ability to communicate in English, both orally and in writing.
  • Strong interpersonal and organizational skills.
  • Ability to perform diverse work assignments with time limitations with a high degree of accuracy.
  • Ability to use problem solving, critical thinking and priority setting skills.
  • Knowledge of medical terminology preferred.

Nice To Haves

  • 2-4 years experience preferred.

Responsibilities

  • Assisting physician, PA or NP with clerical duties, patient flow/care, procedures, scheduling hospital and ambulatory admissions.
  • Scheduling and entering diagnostic tests and procedures into orders management system, following all appropriate workflows.
  • Coordinating required testing prior to admission and ensuring all information and consents are on site for patient’s admission/procedure.
  • Arranging types and distributing surgery schedule.
  • Accurately completing any/all necessary forms for the patient.
  • Effectively communicating problems, concerns or issues to the Supervisor and/or Manager appropriately and promptly.
  • Obtaining vital signs: BP, temp, pulse, height & weight accurately and completely as required.
  • Documenting appropriately in EHR.
  • Reviewing and updating medication list and accurately documenting known allergies in the Electronic Health Record (EHR).
  • Demonstrating an understanding of prescription control and prescription refill procedures.
  • Employing appropriate and timely use of Tasking in EHR.
  • Appropriately entering orders and scheduling appointments in the Practice Management System (PMS) and EHR.
  • Providing referrals and/or consult orders appropriately and in a timely manner in the PMS and EHR.
  • Appropriately adhering to universal safety precautions when administering medications and disposal of medical waste.
  • Maintaining proficiency with department specific equipment troubleshoots and reports malfunctions promptly.
  • Facilitating transition of care to UCC/Hospital.
  • Demonstrating a working knowledge of booking and scheduling inpatient, outpatient and special procedures.
  • Arranging for specialty equipment/ services as needed.
  • Interacting with outside vendors / contracted services as needed.
  • Demonstrating understanding of submission of necessary documents for hospital and our patient procedures.
  • Verbalizing procedure for collection of pre-admission testing data.
  • Demonstrating a working knowledge of insurance and pre-certification requirements.
  • Demonstrating working knowledge for rescheduling and canceling procedures.
  • Logging surgical procedures as needed.
  • Establishing and maintaining a positive working relationship with physicians and nursing staff.
  • Other job duties as required.
