About The Position

Under supervision of the Practice Supervisor/Manager, guided by policies and procedures of the Ambulatory Services, and in collaboration with the Clinical Nursing Staff, the Hospital Assistant III assists in the delivery of care to patients in Rheumatology/Arthritis, Scleroderma & Nephrology ambulatory groups and any other medical specialties as instructed at the Parnassus, Mission Bay, and Mt. Zion campuses. Work includes a variety of personal care and clinical procedures including assuring positive care outcomes. S/he will perform assigned patient care and review of systems data collection in support of the specialty care services provided to patients within the practices. S/he will perform assigned patient care and laboratory procedures in support of the specialty care services provided to patients. S/he is required to adhere to the Telephone and House Standards as adopted by the Medical Center. Work also includes mentoring of staff to promote development of skills to the mentee.

Requirements

Three years related experience
Current American Heart Association CPR Certification
Certification from an approved Medical Assistant program; or equivalent combination of training and experience
Knowledge and abilities essential to the successful performance of the duties assigned to the position
Familiarity with insurance and prior authorizations
Experience with analyzing quality improvement data and metrics
Past coordination of procedures
Ability to use EMR and perform chart abstraction into EMR – specifically Epic or APeX
Strong computer skills and use of Microsoft office
Ability to prioritize work efficiently
Excellent interpersonal communication skills and writing skills
Excellent organizational and problem solving skills
Ability to multi-task and be flexible in changing work assignments at short notice
Familiarity with different insurances, resources available for patient medication and needs for prior authorizations
The ability to work and orient at all UCSF Health locations

Nice To Haves

Bilingual in Spanish, Cantonese, and/or Russian preferred
Bachelors degree in health or behavioral science.
Experience with insurance verification
Minimum of 2 years’ experience in an outpatient practice in either a clinical or administrative capacity

Responsibilities

Monitors patient flow in and out of the clinic.
Supports medication reconciliation process.
Performs routine clinical functions, including but not limited to vital signs, height, weight, and assessment of chief complaints.
Handles phone calls and reviews messages, documenting medication requests and prepares appropriate documentation for clinicians.
Assists patients in preparation for exam or procedures.
Reports any problems or concerns with individual patients to the Practice Manager or attending provider.
Performs clinical activities in an accurate timely manner.
Documents use of interpreter as appropriate.
Work with interpreting services to facilitate interpreter participation for medical appointments in-person, by phone, or by video.
Assists with medication review by helping patients to updated and review their medication list.
Assists with abstraction of medical information.
Enters data points accurately and correctly into flow charts for patient’s visit.
Assists patients with completion of clinical research forms.
Acts as chaperone as needed for medical providers.
Works as an internal float for departments as requested by supervisor/manager – covering other departments needs while supporting clinical functions.
Transports patients as directed and ensures their safety.
Monitors patient flow in and out of clinic.
Participates in updating mandatory logs.
Assists with monthly clinical surveys and audits.
Work with providers/pharmacy team to appeal denials for medications/procedures by providing additional clinical information.
Effectively works in an advanced Electronic Health Record environment.
Complies with all Ambulatory Services and Medical Center policies and procedures for infection control, safety, administrative and clinical practice.
Complies with activities mandated by TJC/Title 22.
Completes annual competency testing.
Process prior medication authorization requests for non-specialty medications, outpatient infusions, referrals, and procedures.
Able to perform POCT, Glucometer testing, necessary injections, and medication administration and maintains annual competency.
Answer calls and demonstrates courtesy and follow through in all telephone/MyChart communication.
Maintains Medical Center Telephone Standards.
Follow clinic protocols to screen, triage, and respond to patient messages via UCSF patient communication portal.
Support clinicians with in-basket messages.
Follow HIPAA for patient privacy and confidentiality.
Assists patients with issues and complaints utilizing conflict management skills.
Communicates provider delays to front office team and makes regular announcements to patients in waiting room or exam room as needed when delays are over 15-30 minutes.
Assists providers with any forms as appropriate.
Schedule patients in cadence.
Assist with patient discharge from practice. This includes scheduling follow up appointments, scheduling tests, and procedures while providing necessary directions.
Coordinate patients check in and out in-person and via telehealth.
Completes all necessary documents for rooming process.
Supports practice for data input and quality improvement projects.
May coordinate provider’s clinic schedules and book appropriate clinic visits and outpatient procedures.
Obtain and verify insurance eligibility.
Helps with True North as determined by supervisor/manager.
Performs other duties as assigned.
