About The Position

Under the supervision of the Practice Supervisor/Manager, and guided by the policies and procedures of Ambulatory Services, the Hospital Assistant 3 collaborates with Clinical Nursing Staff to assist in patient care within Pulmonary and Sleep services. This role involves performing various personal care and clinical procedures to ensure positive care outcomes. The assistant will collect patient care and review of systems data to support specialty care services and perform assigned laboratory procedures. Adherence to Telephone and House Standards is required. Additionally, this role includes mentoring staff to develop their skills.

Requirements

  • Certification from an approved Medical Assistant program or an equivalent combination of training and experience.
  • Minimum of 1 year of recent experience as a Medical Assistant in an outpatient setting.
  • Experience pending medication refill requests and initiating, submitting, tracking, and following up on medication prior authorizations (PAs) with insurance payers.
  • Experience with DME coordination.
  • Experience using an electronic medical record (EMR) and performing chart abstraction.
  • Current American Heart Association Basic Life Support (BLS) certification.
  • Strong computer skills, including proficiency in Microsoft Office applications.
  • Excellent interpersonal, verbal, and written communication skills.
  • Excellent organizational, prioritization, multitasking, and problem-solving skills, with the ability to adapt to changing priorities.
  • Ability to maintain regular and reliable attendance consistent with the operational needs of the department.
  • Current American Heart Association CPR certification.

Responsibilities

  • Performs routine clinical functions and documents in patient chart, including vital signs, height, weight, pain screening, and chief complaints.
  • Documents use of interpreter services and facilitates interpreter participation for medical appointments.
  • Assists nurses, providers, and patients in preparation for exams and procedures.
  • Assists with procedures in the department as needed.
  • Assists with medication review by helping patients update and review their medication list.
  • Assists with abstraction of medical information and updates providers with patient status.
  • Assists patients with completing clinical research forms.
  • Enters data accurately into flowcharts for patient visits.
  • Reviews labs required by the provider, ensuring they are in the patient's profile, and contacts facilities if necessary.
  • Enters and downloads/uploads data into Apex.
  • Completes all appropriate competencies for procedures as required by the department and determined by management.
  • Supports providers in managing and reviewing in-basket messages.
  • Acts as a chaperone as needed for medical providers.
  • Floats within the department to cover other needs while supporting clinical functions.
  • Transports patients as directed and ensures their safety.
  • Monitors patient flow in and out of the clinic.
  • Participates in updating mandatory logs.
  • Assists with monthly clinical surveys and chart audits.
  • Facilitates referrals to other providers as ordered by the physician.
  • Performs clinical activities accurately and in a timely manner.
  • Assists physician staff in writing and sending patient communications.
  • Serves as a mentor for incoming staff, providing knowledge and resources.
  • Complies with all Ambulatory Services and Medical Center policies and procedures for infection control, safety, administrative, and clinical practice, including TJC/Title 22 mandates.
  • Completes annual competency testing.
  • Ensures medication cabinets are secured and supplies are adequate.
  • Communicates and coordinates care with the team of providers and support staff regarding relevant patient issues.
  • Reviews clinical information to request prior authorizations for specialty medications.
  • Performs preliminary review of incoming referrals for necessary information for clinician review.
  • Processes prior authorizations for medications.
  • Works with nurses/providers to appeal denials for medications/procedures by providing additional clinical information.
  • Processes DME orders and works closely with DME companies/reps to ensure completion.
  • Reviews AVS/checklist/treatment plans with patients as directed by providers.
  • Participates in daily and end-of-day huddles to review clinic flow.
  • Works with the clinical team to manage in-basket messages.
  • Prepares new patient referrals for clinical review using appropriate disease-specific checklists.
  • Reviews patient education information with patients for biologic therapy using approved checklists.
  • Assists researchers in preparing patients for visits, demonstrating familiarity with clinical research.
  • Supports and coordinates scheduling of outpatient clinic visits and procedures for multiple providers and services, ensuring visits are scheduled within clinically appropriate timeframes.
  • Registers patients in person or by telephone, updating information for returning patients.
  • Communicates Medical Center financial policies clearly to patients and refers them to Financial Counseling when necessary.
  • Ensures accurate and timely data entries for registration and scheduling, including PCP/Referring provider information and HIPAA compliance.
  • Coordinates providers’ clinic schedules and books appropriate visits and procedures, interfacing with patients and physicians for communication.
  • Obtains and verifies patient insurance eligibility and correctly identifies and selects appropriate insurance plans.
  • Interacts with patients, insurance companies, and staff to ensure authorization for clinical services.
  • Provides administrative support for providers, processing correspondence, and clinical, financial, and administrative documentation accurately and timely.
  • Responds to telephone and email inquiries related to clinical services within 24-48 hours.
  • Demonstrates courtesy, common sense, and follow-through in all telephone communications, maintaining Medical Center Telephone Standards.
  • Ensures a professional and helpful working environment by upholding House Standards.
  • Notifies providers of patient delays and service issues, acting as a patient advocate.
  • Communicates provider delays to the front office team and makes announcements to patients when delays exceed 30 minutes.
  • Shares pertinent information and observations with other health team members.
  • Identifies and communicates problems to nursing staff or appropriate supervisor.
  • Offers suggestions for improvement in clinic/practice operations.
  • Assists patients with issues and complaints using conflict management skills.
  • Utilizes Electronic Health Record (APeX) for documentation, including vital signs, chief complaint, history, medications, allergies, POCT, scripted orders, medication refill encounters, telephone encounters, and responding to staff messages.
  • Maintains clean, well-stocked exam rooms and manages inventory of medical supplies.
  • Coordinates meal and rest periods with other Hospital Assistants, ensuring clinic coverage under supervisor/manager direction.
  • Maintains supply standards as directed by nursing staff or supervisor.
  • Adheres to infection control procedures.
  • Adheres to policies and procedures for cleaning, disinfecting, and sterilizing equipment.
  • Participates in QI and Customer Service initiatives such as wait time studies and outcome data collection.
