About The Position

Responsible for maintaining patient files and checking patient’s insurance eligibility, responding to requests for medical records, and other clerical duties. This role is accountable to Residential Care Management and involves organizing, filing, and retrieving patient medical records, including various medical documentation through our EMR system. The position also entails maintaining patient admissions and discharges, providing secretarial support to clinical staff, entering patient charges, maintaining patient rosters, and verifying insurance eligibility for a large number of patients daily. Additionally, the role involves scanning patient data, creating new patient charts, ensuring consents are collected, scheduling provider-patient visits, providing monthly provider reports, transcribing patient medical notes, answering telephone calls, and assisting with data compilation for external agencies. Handling protected health information in accordance with HIPAA is crucial, as is keeping the supervisor informed of issues and suggesting solutions. The position requires upholding the organization's principles of providing quality health and human services to underserved populations in a culturally sensitive manner, with punctuality and attendance being essential job duties.

Requirements

  • Ability to maintain records and files in alphabetic/numeric sequence.

  • High school diploma or GED required.
  • Ability to work at a computer terminal for extended periods of time on a daily basis.
  • Ability to exert up to 40 pounds of force in order to lift, carry, pull or move objects.
  • Ability to handle multiple tasks while also being tactful, diplomatic, and empathetic.
  • Ability to organize and schedule work effectively.
  • Ability to communicate effectively and tactfully with customers, managers and other levels of personnel, in person and on the telephone.

Nice To Haves

  • Two (2) years of medical records experience preferred.
  • General medical office experience preferred.
  • Knowledge of various Health Insurances preferred.

Responsibilities

  • Organize, file, and retrieve patient medical records.
  • File various medical documentation through our EMR system, including but not limited to patient notes, radiology reports and lap results.
  • Maintain patient admissions and discharges from various EMR systems.
  • Provide secretarial support to clinical staff.
  • Enter patient charges due into EMR system.
  • Maintain over 550 patient rosters on daily basis.
  • Verify insurance eligibility for scheduled appointments under various EMR systems for over 250 patients daily.
  • Scan in all patient data, reports upon receipt of information.
  • Create charts for new patients and ensure consents get collected.
  • Ensure all provider-patient visits are scheduled correctly into our EMR system.
  • Provide monthly provider reports to over 550 licensed Board and Cares.
  • Transcribe patient medical notes to various EMR system that license Board and Cares utilize.
  • Answer telephone calls promptly and courteously.
  • Assist in compiling data and information for reports required by external agencies and regulatory authorities.
  • Handle protected health information in a manner consistent with HIPAA (Health Insurance Portability and Accountability Act).
  • Keep supervisor informed of problems or issues and suggest solutions.
  • Consistently demonstrate and uphold CCCHC’s principle of providing quality health and human services to the medically underserved and low-income populations in a culturally sensitive manner.
  • Punctuality and Attendance: This is an essential job duty for CCCHC’s employees given the impact on patients.
