We are currently seeking a PRN Experienced Medical Staff Coordinator who will be responsible for performing and monitoring administrative tasks associated with providers for temporary, emergency, initial or recredential privileges. This role is responsible for credentialing/privileging new applicants and reappointments, and coordinates the OPPE and the Observer processes.

Requirements

  • Combination of training and experience is necessary; extensive knowledge of medical terminology required.
  • Minimum of 3-8 years experience in health care credentialing, privileging and medical staff services
  • Good organization and strong interpersonal relationship skills; communication skills (verbal and written)
  • Customer-service oriented towards physicians and other hospital employees
  • Ability to learn quickly and function in a fast-paced environment with frequently changing priorities
  • Must be able to receive and provide verbal feedback in a professional manner
  • Must be able to follow and understand instructions, and react favorably in all work situations
  • Must be mentally adaptable and flexible in dealing with a variety of people

Nice To Haves

  • CPMSM Certification by National Association of Medical Staff Services (NAMSS) preferred

Responsibilities

  • Perform and monitor administrative tasks associated with providers for temporary, emergency, initial or recredential privileges.
  • Responsible for credentialing/privileging new applicants and reappointments.
  • Coordinates the OPPE and the Observer processes.
  • Process and monitor all applications for medical staff provider credentialing through completion for Initial/Temporary/Emergency Appointments and Provisional Reappointments.
  • Ensure applications are processed in compliance with standards, regulations and guidelines within required timeframes.
  • Ensure medical staff are in compliance with Bylaws, Rules and Regulations.
  • Effectively communicate information on policies and procedures.
  • Organize and present timely approval presentations.
  • Maintain organized, accurate and timely status reports.
  • Prepare timely, professional and accurate correspondence.
  • Prepare accurate and timely minutes (usually within 1 week).
  • Organize and distribute meeting packets in a timely manner (1 week before meeting).
  • Provide assistance with other administrative/organizational needs to the chair.
  • Maintain accurate and current files both paper and computer, including MSO website.
  • Ensure any file pulled is up to date and current.
  • File documents in the appropriate location.
  • Ensure database is always accurate and current.
  • Ensure there is no backlog filing.
  • Function as a resource person for medical staff providers, departments and other personnel.
  • Represent the office appropriately and professionally.
  • Provide accurate and effectively communicated information on policies and procedures.
  • Respond to requests of assistance in a timely and accurate manner.
  • Serve as the system administrator for the CACTUS database. As transition to MIDAS + Provider credentials database occurs will serve as backup administrator for system.
  • Effectively and efficiently coordinate and implement system expansions, upgrades and interfaces.
  • Assign user codes promptly and accurately.
  • Track assignment of user codes in an organized manner.
  • Resolve user questions and systems problems efficiently and effectively.
  • Generate statistical reports, directories, labels and other information as requested.
  • Troubleshoot data and systems problems with the IS departments.
  • Perform all National Practitioner Databank and other queries as necessary.
  • Coordinate payment of invoices and track expenses.
  • Ensure all queries are performed in a timely and thorough manner.
  • Maintain confidentiality.
  • Pay invoices promptly.
  • Maintain an organized system of tracking expenses and payments.
  • Participate in projects associated with the regulatory and accrediting agencies such as JCAHO, NCQA, and DCRA in addition to other outside organizations and Medicare.
  • Create and distribute correspondence related to credentialing activities as necessary to departmental activities and the processing of files.
  • Provide administrative support to Medical Staff Committees (Executive, Credentials, Fast Track Credentials, Board Credentials, Perinatal, Critical Care and others as needed) including preparation of minutes, distribution of agenda and minutes and other necessary actions.
  • Perform a variety of service and administrative tasks that are shareable by all so that the needs of the customer and fellow team members are met in a timely manner.
