We boldly go. The role is responsible for coordinating tasks related to the purchasing area. It involves preparing reports, communicating with suppliers, and providing support to the materials department.

Requirements

  • Associate's Degree in Business Administration or equivalent.
  • Minimum of 2 years of related experience.
  • Computer knowledge (MS Office).
  • Organizational, planning, and analytical skills.
  • Good interpersonal relationships.
  • Manual, counting, and material handling skills.
  • Oral and written communication skills.
  • Safety Sensitive Role: Yes

Responsibilities

  • Maintain assigned reports updated for the purchasing department's reference.
  • Respond to customer inquiries as assigned.
  • Work with the database on the ASCP/Oracle12 platform according to the BOM for material planning offered to the purchasing department.
  • Contact suppliers to verify shipment details, follow up for their evaluation, and send communications regarding the status of claims.
  • Coordinate with the purchasing department the need to move containers in transit.
  • Evaluate the arrival of containers with the date and status.
  • Maintain files, such as supplier records, bills of lading, cost reports, among others.
  • Evaluate production reports to highlight potential shortages or follow up with the buyer to escalate shortages.
  • Prepare daily reports of: Shortages, NER and send them to the buyers on time.
  • Prepare the Receipts Pulse report during the last two weeks of the month.
  • Highlight to the warehouse team the priorities for receiving wagons according to inventory needs.
  • Prepare weekly reports of: Horizontal Plan, Past Due PO / Air shipment / In bound and Critical Supplier.
  • Maintain automatic reports for suppliers: Forecast / Open Order.
  • Work on Internal / Open Claims for material receipt discrepancies, as highlighted by the warehouse team.
  • Prepare reports and lists, digitize documents, and perform other clerical tasks as required.
  • Update / Create Supplier changes in the Windchill program.
  • Report the on-time delivery of suppliers to the purchasing department.
  • Assist suppliers with basic training on the iSupplier Portal, if necessary.
  • Support Lean initiatives (RIE, 9 steps, JDI, etc.).
  • Keep your work area clean and organized.
  • Comply with company policies and procedures, including those related to EHS and ISO.
  • Execute other tasks and projects as required.
