As our aftermarket and service operations continue to scale, we’re looking for a highly organized, customer-focused, operationally driven Service Support Specialist to help support our technicians, customers, fleet operations, and service execution teams. This role sits at the center of service operations. You’ll help coordinate service workflow, technician scheduling, customer communication, work order management, fleet processing, warranty administration, operational support, service efficiency, and aftermarket coordination. Your ability to stay organized, solve problems quickly, and keep communication flowing directly impacts customer uptime, technician productivity, branch efficiency, service profitability, customer satisfaction, and operational performance. At WMH, this role is much bigger than administrative support. You become part of the operational engine that keeps customers moving.

Requirements

  • 3+ years of experience in service coordination, dispatching, operational support, fleet support, customer service, dealership operations, work order management, or industrial service administration
  • Strong understanding of service workflow, technician coordination, customer communication, warranty processing, WIP management, and operational prioritization
  • Experience with ERP systems, service management software, CRM systems, Microsoft Office Suite, or fleet/service platforms
  • Strong multitasking and organizational ability
  • Excellent communication and problem-solving skills

Nice To Haves

  • Material handling, forklift dealerships, heavy equipment, industrial equipment, fleet operations, construction equipment, warehouse operations, service coordination, equipment rental, or automotive service operations experience
  • Forklift or material handling industry experience is highly preferred.

Responsibilities

  • Serve as a key point of contact for customers, technicians, and internal teams regarding service-related requests
  • Deliver responsive, professional customer support with urgency and accuracy
  • Assist with troubleshooting coordination, service updates, and operational communication
  • Help ensure customers receive timely service support and equipment updates
  • Schedule and dispatch service technicians efficiently
  • Monitor and manage work in progress (WIP)
  • Open, update, and close work orders accurately
  • Support workload balancing and technician coordination
  • Help improve service department workflow, communication, and operational efficiency
  • Process warranty claims, fleet records, and service-related documentation
  • Maintain accurate customer, service, and operational records
  • Assist with rental equipment support, shipping/receiving coordination, and service administration
  • Support reporting, compliance tracking, and operational documentation
  • Coordinate with technicians, branch leadership, parts teams, vendors, manufacturers, and customers
  • Help maintain strong communication across departments to support smooth service execution
