About The Position

Marketing Direction seeks a Traffic Manager to own operational coordination across client accounts. You are the connective tissue between our account managers and our implementation team. Account managers own the client relationships and strategic direction. Specialists own the execution. You own the flow between them. This role is one of four defined project roles in our operating model: Lead Marketer (account manager), Project Owner (owns a specific project), Traffic Manager (operational coordination), and Project Team (execution). You may interact with 10-15 team members, but your core function is routing account manager projects across the implementation team. This role is perfect for agency project managers or traffic coordinators who thrive on keeping multiple projects moving simultaneously, organized operators who build systems that prevent problems rather than managing fallout, people who notice when a task has been sitting untouched and act without being told, project management platform power users who configure automations, dashboards, and alerts -- not just check boxes, contractors comfortable with variable hours and a team of fellow contractors, and communicators who send one consolidated message with priorities, links, and actions -- not tool notification floods. This role is NOT a fit if you want to execute marketing work (write copy, design, run ads, build campaigns), need guaranteed minimum hours or predictable weekly volume, wait to be told what to do rather than monitoring and acting proactively, default to tool notifications instead of direct, human-context communication, treat deadlines as targets rather than commitments, or need positional authority to get things done (this is influence through relationships, not hierarchy).

Requirements

  • 3+ years experience in agency operations, project management, or traffic coordination
  • Demonstrated multi-project coordination at scale (10+ concurrent projects)
  • PM tool proficiency (Monday.com, Asana, or comparable) with the ability to learn new systems quickly
  • Experience configuring PM tools beyond basic use -- automations, alerts, dashboards, integrations
  • Budget tracking experience -- monitoring hours against approved estimates and flagging variances before they become problems
  • QC/verification capability -- reviewing deliverables against requirements for completeness and accuracy
  • Experience coordinating across creative, marketing, or professional services teams
  • Comfortable working within a contractor team model (not just full-time employee teams)
  • Proactive communication -- you surface issues early, not after deadlines pass
  • Currently using AI tools (Claude, Gemini, ChatGPT, or equivalent) in your workflow

Nice To Haves

  • Monday.com experience specifically
  • Agency-side traffic management experience (vs. client-side or in-house only)
  • Dropbox, OneDrive and Microsoft Teams familiarity
  • SOP and process documentation skills
  • Estimate consolidation experience (assembling multi-contributor estimates into single packages)
  • B2B professional services industry exposure

Responsibilities

  • Create project boards in Monday.com under the correct program category
  • Create Dropbox folders with standard sub-folder structure
  • Gather reference materials (brand docs, prior deliverables, relevant data) and organize in project folder
  • Verify team assignments, scope definition, and estimate approvals are complete before kickoff
  • Consolidate individual team member estimates into a single document for project owner review
  • Route project assignments to the right specialist based on skillset and capacity
  • Manage timelines, dependencies, and deliverable tracking for concurrent client projects
  • Conduct first-pass QC on deliverables before they advance to project owner review (brief-against-deliverable check, not technical review)
  • Route deliverables through the approval chain
  • Monitor hours against approved estimates; enforce budget check-in requirements
  • Flag out-of-scope work for independent estimation and approval before additional work continues
  • Escalate when a team member's deliverable is past deadline
  • Monitor cross-account capacity and flag resource constraints
  • Resolve operational bottlenecks proactively before escalation
  • Verify deliverables in production after deployment (links, forms, functionality)
  • Provide weekly account reports to each account manager: project status, hours against estimates, upcoming deadlines, items requiring attention
  • Send human-context communications for approvals and status -- direct messages explaining what needs attention, where to find it, and by when
  • Consolidate multiple review items into a single prioritized message with links and expected actions
  • Verify final deliverables against original scope
  • Confirm all files organized in correct folders with proper naming
  • Reconcile hours against approved estimate
  • Capture lessons learned
