About The Position

This role is open in all True Media office locations: Kansas City, MO, Columbia, MO, St. Louis, MO, Portsmouth, NH, and Minneapolis, MN. The position offers a hybrid work schedule, requiring 3 days in the office and 2 days working from home. Visa sponsorship is not available, and applicants must be legally authorized to work in the United States permanently without employer sponsorship.

Requirements

  • Prior work experience in a Project Management/Coordinator or Account Manager/Coordinator role in a marketing or agency setting or equivalent duties.
  • Minimum of 1 year equivalent experience in marketing or advertising positions including internship experience.
  • Bachelor's degree from a four-year college or university, degree or concentration in advertising, marketing or communications preferred; or one to two years related experience and/or training; or equivalent combination of education and experience.

Responsibilities

  • Develop and manage statements of work that meet client needs, outline agency services and compensation, and minimize agency risk.
  • Monitor account activity against the statement of work, alert the internal team about out-of-scope activity, and manage scope changes.
  • Develop hours estimates and manage them collaboratively with the account team, pulling hours reports and updating tracking sheets routinely.
  • Facilitate discussions and adjustments concerning time allocations with team members and manage application and billing status of account time.
  • Understand client organizational needs to facilitate client setup in Advantage, including the setup and closing of job numbers, campaign codes, and media plans.
  • Manage the organization and consistent naming of files on the server, Google Drive, and other storage locations, focusing on key documents like creative files, contracts, statements of work, media briefs, strategies, invoices, and performance reports.
  • Develop and document campaign timelines collaboratively with account teams, communicate timelines and tasks to team members and clients, and ensure deadlines are met.
  • Track timelines and tasks in project management software.
  • Develop media authorizations and ensure campaign spends align with them through regular report checks from Advantage.
  • Build fee sheets for billing and ensure accurate and timely client invoicing.
  • Facilitate reconciliation completion within a 60-day window of campaign completion.
  • Schedule client and internal team meetings, manage agendas for internal meetings, and assist the client strategist with client meeting agendas.
  • Record meeting notes and action items, and share recaps with the internal team, client, and agency partners.
  • Lead internal status meetings and participate in client status meetings as needed.
  • Facilitate adherence of the account team to agency roles and processes.
  • Proactively facilitate internal account communication, including issue resolution, and assist the client strategist in ensuring client requests are acknowledged within 24 hours.
