About The Position

This role is responsible for developing and managing statements of work, monitoring account activity, developing and managing hours estimates, facilitating client setup in Advantage, managing file organization, developing campaign timelines, managing budgets, scheduling and facilitating meetings, and stewarding agency processes. The position requires a proactive approach to internal account communication and ensuring client requests are acknowledged promptly.

Requirements

  • Prior work experience in a Project Management/Coordinator or Account Manager/Coordinator role in a marketing or agency setting or equivalent duties.
  • Minimum of 1 year equivalent experience in marketing or advertising positions including internship experience.
  • Bachelor's degree from four-year college or university, degree or concentration in advertising, marketing or communications preferred; or one to two years related experience and/or training; or equivalent combination of education and experience.

Responsibilities

  • Develop and manage statements of work that meet client needs, outline agency services and compensation, and minimize agency risk.
  • Monitor account activity against the statement of work and manage scope changes or additional needed changes.
  • Develop hours estimates and manage them collaboratively with the account team.
  • Pull hours reports and update tracking sheets on a routine basis.
  • Facilitate discussions and adjustments concerning time allocations with team members.
  • Manage application and billing status of account time.
  • Understand client organizational needs to facilitate client setup in Advantage, including job numbers, campaign codes, and media plans.
  • Manage the organization and consistent naming of files on servers and cloud storage.
  • Develop and document campaign timelines collaboratively with account teams.
  • Provide communication to team members and clients about timelines and tasks.
  • Ensure deadlines are met and client deliverables are completed.
  • Track timelines and tasks in project management software.
  • Develop media authorizations and ensure campaign spends align with them.
  • Build fee sheets for billing.
  • Ensure accurate and timely client invoicing.
  • Facilitate reconciliation completion within a 60-day window of campaign completion.
  • Schedule client and internal team meetings.
  • Manage agendas for internal team meetings and assist with client meeting agendas.
  • Record meeting notes and action items.
  • Share note recaps and action items with the internal team, client, and agency partners.
  • Lead internal status meetings and participate in client status meetings.
  • Facilitate adherence of the account team to agency roles and processes.
  • Proactively facilitate internal account communication, including issue resolution.
  • Assist the client strategist in ensuring client requests are acknowledged within 24 hours.
