The Marketing Operations Coordinator serves as the connective tissue of the marketing organization, ensuring clean and accurate data, seamless cross-departmental coordination, and operational excellence across all marketing functions. This role builds on the core lead engagement and data integrity responsibilities of the Marketing Specialist with expanded responsibilities tied to the new organizational structure.

Responsibilities

  • Initiate contact with leads through outbound calls, emails, and texting dashboard.
  • Respond to all residential and commercial customer inquiries through email, phone, and text within 24 business hours, with follow-up efforts that mirror recycle logic in Enabled+ and tracked on spreadsheets.
  • Conduct outbound efforts for repeat customers with a minimum of 250 calls per month tracked in the NTouch dashboard and on the Repeat Customer Daily Tracker.
  • Conduct preliminary assessments to gauge interest and qualify leads based on specific criteria.
  • Maintain accurate and detailed notes in CRM and spreadsheets for all outreach and qualification activities.
  • Collaborate with the National Inside Sales Center (NISC) and sales teams to ensure smooth lead handoff and follow-through.
  • Maintain a broad understanding of Renewal by Andersen's products, promotions, and service offerings.
  • Stay up to date on current deals, discounts, and brand initiatives to communicate effectively with leads.
  • Represent the Renewal By Andersen brand voice consistently across all communications and customer touchpoints.
  • Maintain lead tracking spreadsheets and assist with weekly and monthly reporting.
  • Reconcile lead counts for pacing, CPL, and source performance metrics.
  • Ensure 100% accuracy in CRM notes, attribution tagging, lead source tracking, and customer experience documentation.
  • Own the quality and completeness of CX notes across all customer touchpoints so that every interaction is documented and actionable.
  • Promptly respond and act on all lead compliance tracking per internal SOPs, including suppression lists, corporate unsubscribes, and quarantines from CRM.
  • Conduct monthly attribution accuracy audits across all lead sources and flag discrepancies to leadership.
  • Support the Marketing Analyst with data reconciliation and reporting accuracy across CVA and RKE.
  • Greet showroom walk-ins and direct to the appropriate Design Consultant or external retail partner location.
  • Provide appointment or inbound call support as needed.
  • Own and maintain the SOP for walk-ins and the homeowner experience in collaboration with the Senior Marketing Manager.
  • Partner with Sales, Marketing, and the NISC to verify and optimize lead flow.
  • Communicate data trends, errors, or process improvements to leadership.
  • Support marketing campaigns as needed.
  • Serve as the primary coordination point between marketing, sales, and operations for day-to-day project handoffs and status updates.
  • Collaborate with Director of Digital Growth and Technology on cross-departmental initiatives, system updates, and organizational projects.
  • Coordinate logistics for corporate and market visits, including venue selection, attendee preferences and accommodations, agenda preparation, and communication with visiting teams.
  • Liaise with facilities and maintenance personnel to ensure office and showroom spaces meet standards for internal and external visitors, including cleanliness, presentation, and operational readiness.
  • Manage event-level administrative details for marketing and leadership gatherings, including dining reservations, attendee needs tracking, and day-of coordination to ensure a seamless experience for all participants.
