About The Position

Reporting to the Director, Brand Strategy, Marketing & Communications, we are hiring a Marketing Operations and Project Specialist. As our new Marketing Operations and Project Specialist, you will coordinate marketing initiatives from intake and planning through execution and reporting. You will translate marketing briefs into actionable project plans, build and manage workflows, coordinate contributors and approvals, monitor timelines and deliverables, and keep everyone informed and accountable. You will bring an understanding of how marketing work moves from concept through content, creative, approvals and production, applying critical thinking and sound judgement to keep projects moving when requirements and approval processes differ. This is an existing full-time, fully remote opportunity open to candidates across Canada.

Requirements

  • Experience coordinating marketing initiatives and understanding how work moves from an idea and brief through content, creative, approvals, production and delivery.
  • Understanding of the different contributors and handoffs involved and ability to anticipate what comes next.
  • Background may include marketing coordination, marketing operations, account management or project coordination.
  • Ability to manage multiple projects at different stages while maintaining visibility into timelines, dependencies, approvals, priorities and deliverables.
  • Ability to anticipate what may affect progress, maintain attention to detail and keep people focused on what needs to happen next.
  • Understanding that effective project management is as much about coordinating people, decisions and information as it is about managing tasks.
  • Comfortable using monday.com or a comparable platform such as Asana, ClickUp or Trello.
  • Ability to assess the information available, recognize what is missing and ask questions that get to the information you need.
  • Ability to investigate, consider options and recommend a practical way forward when encountering an obstacle or ambiguity.
  • Ability to know when you have enough information to decide and when you need to bring someone else into the conversation.
  • Take responsibility for your work from the moment it is handed to you through to completion.
  • Track commitments, close loops, and follow up when something is outstanding rather than waiting for someone else to notice.
  • Communicate progress, anticipate issues and raise risks or delays early.
  • Ability to assess what a situation requires and adjust your approach without losing sight of the details, deadlines or intended outcome.
  • Comfortable balancing multiple priorities and responding constructively as requirements change.

  • Strong practical skills using Microsoft tools.
  • Ability to quickly learn new systems and platforms.
  • Comfortable exploring AI-enabled technology and using available tools to organize information, solve problems, improve efficiency, and support the quality of your work.
  • Comfortable working remotely and can organize your time, manage competing priorities, and maintain momentum without needing detailed day-to-day direction.
  • Ability to stay connected to the team, communicate proactively and recognize when to move forward independently and when to ask for support.
  • Successful completion of a criminal background check and references.

Nice To Haves

  • Experience in a nonprofit, healthcare, higher education, government or another environment involving multiple teams and complex approval processes is an asset.
  • Bilingualism in English and French is an asset and would be valuable when coordinating French language marketing work.
