We are seeking a highly organized and detail-oriented entry-level Marketing Coordinator to manage our firm’s outdoor advertising initiatives. This role ensures our outdoor advertisements are accurate, on brand, strategically placed and launched on schedule. Success in this position requires exceptional organizational skills, meticulous attention to detail and the ability to manage multiple projects and deadlines in a fast-paced environment. As part of our Marketing Team, you will support our firm-wide success by increasing case acquisition and driving ROI through marketing efforts.   • Willingness to perform any/all tasks as assigned by Marketing Director, Events Coordinator, Marketing Operations Manager and/or Firm Leadership in support of the firm’s growth and success.
  • Bachelor’s degree in Marketing, Communications, Business, Advertising, or a related field preferred (or equivalent experience).
  • Experience coordinating advertising campaigns, print production, project management, or vendor management preferred.
  • Strong spreadsheet and reporting experience required.
  • Experience working with outdoor advertising, signage, media buying, print vendors, or marketing operations is highly preferred.
  • Experience with Adobe Illustrator, Canva, or similar creative software.
  • Experience coordinating multiple projects with competing deadlines.
  • Prolonged periods sitting at a desk and working on a computer.
  • Occasional travel to inspect billboard locations or attend vendor meetings and events.
  • Must be able to lift up to 15 pounds at times

Responsibilities

  • Serve as the primary coordinator for the firm’s outdoor advertising program by managing billboard operations from concept through installation.
  • Coordinate vendors, maintain billboard inventory and mapping, facilitate creative development and approvals, track campaigns, and ensure advertising is executed accurately and on schedule.
  • Support marketing operations, events, and special projects.
  • Maintain a comprehensive inventory of all billboard locations, contracts, artwork, flight dates, and installation schedules.
  • Develop and maintain detailed internal billboard maps and tracking spreadsheets to ensure accurate placement and visibility of all advertising assets.
  • Coordinate with billboard vendors to schedule creative rotations, new installations, removals, and maintenance.
  • Manage project timelines to ensure artwork is delivered, installed, and replaced according to schedule.
  • Coordinate creative requests with internal marketing team members and outside designers.
  • Prepare artwork packages and distribute final creative files to vendors.
  • Coordinate internal stakeholder reviews and revisions.
  • Manage the Louisiana State Bar advertising approval process by preparing, submitting, tracking, and documenting required filings.
  • Conduct routine quality control by verifying billboard installations, reviewing proof photos, and ensuring campaigns are executed correctly.
  • Research new billboard opportunities and provide strategic placement recommendations based on market growth, traffic patterns, competitive activity, and marketing priorities.
  • Build and maintain strong working relationships with outdoor advertising vendors.
  • Support the execution of marketing initiatives, events, sponsorships, and special projects.
  • Coordinate with vendors, designers, and internal stakeholders to keep projects on schedule.
  • Maintain organized marketing documentation, project trackers, asset libraries, and reporting.
  • Assist with the production of marketing materials and coordinate creative requests as needed.
  • Create and maintain detailed spreadsheets and reports to support marketing initiatives and department operations.
  • Ensure marketing assets, collateral, and promotional materials are organized, current, and readily available.
  • Identify opportunities to improve organization, efficiency, and marketing processes across the department.
  • Perform additional marketing and administrative support duties as assigned.
