POSITION SUMMARY Reports to: Chief Marketing Officer The Marketing Coordinator provides principal administrative support to the Chief Marketing Officer (CMO) and Marketing and Communications department team members. As our Marketing Coordinator, you are the operational heartbeat of a dynamic team dedicated to promoting the nation's capital. You don't just handle tasks; you manage the vital "behind the scenes" details-from financial processing and CMO support to creative brainstorming, that allow our marketing, PR, and advertising initiatives to shine. You take pride in being the organizational anchor that helps Destination DC fulfill its mission of bringing the world to Washington, DC. You r typical day as our Marketing Coordinator may include : You kick off the morning by auditing the CMO's schedule and polishing high-stakes presentations to ensure leadership is prepared for city-wide stakeholder meetings. You pivot to the "numbers side" of marketing, accurately processing and organizing department invoices to keep our agency partnerships and budgets running smoothly. You jump into a dynamic huddle, offering your insights on local DC culture to help shape upcoming social media, PR, or advertising campaigns. You spend your afternoon triaging incoming requests, ensuring that "high-urgency" digital updates or communications are proofread and published without a single typo.

Requirements

  • Minimum 1 year of progressive professional experience in marketing, communications, digital content, web management, or related roles. W e recognize that expertise is built in many ways. If you have the skills to excel but a different year count, we still want to hear from you.
  • Excellent oral and written skills, including a strong command of English grammar, usage, and vocabulary.
  • Strong working knowledge of Microsoft 365 (Outlook, Excel, Word, and PowerPoint) with the ability to manage multiple projects weekly across these platforms.
  • Exceptional organizational skills and a proven ability to manage complex workflows.
  • A sharp eye for detail and professional-grade proofreading skills.
  • Ability to work with a sense of urgency, effectively prioritizing high-impact tasks over minor ones.
  • A proactive mindset, using sound judgment to plan and accomplish goals independently.

Nice To Haves

  • Previous experience or a strong foundational knowledge of the Travel and Hospitality industry
  • A four-year degree in Marketing, Public Relations, Journalism, Communications, or a related field.
  • A genuine passion for Washington, DC, combined with an understanding of its unique travel and tourism landscape.

Responsibilities

  • Performs general administrative functions for the CMO and for the Marketing and Communications department as needed.
  • Handles daily correspondence, travel arrangements, meeting scheduling, and expense reports for the department head
  • Schedules, plans, and coordinates all department meetings, including quarterly Marketing Committee meetings, team retreats, and other department events
  • Prioritizes and distributes all incoming general mail for the department and maintains subscriptions
  • Assists in maintaining contact databases for marketing and media
  • Uploads events and other information to washington.org
  • Collects agenda items for bi-weekly team meetings and status updates
  • Prepares departmental budget expenditures , including invoices, check requests, and purchase orders.
  • Tracks budget in a timely and organized manner, verifying expenditures against line items and updating the department head monthly.
  • Is familiar with the budgeting process and understands departmental codes used to track spending.
  • Puts strong organizational skills to use by prioritizing and organizing projects for the CMO.
  • Keeps files and documents organized on Destination DC's internal server so they are easy to find and use by the rest of the team as needed.
  • Has an interest in understanding various aspects of marketing , and assists the CMO with developing Excel spreadsheets and Google Docs to track specific marketing information, handles email correspondence as appropriate with Destination DC members, stakeholders, and customers.
  • Has strong Microsoft PowerPoint skills and uses these to regularly prepare presentations as needed for the department head, committee meetings, and other marketing events while maintaining brand standards.
  • Contributes to the org's content by regularly updating the event calendar and other sections as assigned.
  • Coordinates departmental and committee meeting schedules and attendance for all supported by the department, including maintaining timely correspondence and minutes for meetings.
  • Understands and is comfortable working in all aspects of Destination DC's CRM program, SimpleView . Creates department-level traces as needed in the system.
  • Delivers quality service to internal and external customers.
  • Other duties as assigned.
