About The Position

The Marketing & Communications Project Manager at Girl Scouts of Northern California (GSNorCal) is a strategic role requiring advanced knowledge in communications, marketing, and project management. This role is responsible for overseeing complex marketing initiatives, applying specialized expertise to manage high-impact campaigns, and exercising independent judgment to develop solutions that support organizational goals. The Project Manager leads the planning, coordination, and execution of cross-functional projects across print, digital, and event channels. This position requires a deep understanding of communications strategy, content development, digital engagement, and project planning typically gained through specialized education and demonstrated through professional experience.

Requirements

  • 5–10 years of progressively responsible experience in marketing, communications, or project management, preferably in a nonprofit, mission-driven, or agency setting.
  • Bachelor’s degree in communications, marketing, journalism, public relations, or a related field requiring specialized training.
  • Proven ability to lead complex, multi-channel projects, from planning through execution, coordinating multiple stakeholders and timelines.
  • Sound judgment about emerging tools, including AI: discernment about when it genuinely helps or not and how to hold all work to editorial and brand standards regardless of how it was produced.
  • Exceptional written and verbal communication skills, with the ability to synthesize complex information into clear, audience-friendly content.
  • Strong analytical, organizational, and time-management skills, with the ability to make independent decisions and manage competing priorities.
  • Proficiency with digital marketing tools and project management platforms (e.g., Asana, Salesforce Marketing Cloud, CMS platforms).

Nice To Haves

  • PMP certification or formal project management training.
  • Bilingual (Spanish), knowledge of other languages, and cultural awareness.
  • Familiarity with/experience using marketing tools such as Salesforce Marketing Cloud, Dyspatch, Agorapulse, GoFundMe Pro, Raiser's Edge NXT, WordPress, Adobe Experience Manager, Google Analytics, Canva, Discord, and Project Management Applications such as Asana.
  • Familiarity with the Girl Scout mission and volunteer-driven programming.

Responsibilities

  • Lead the full project planning process for integrated marcomm campaigns that support Girl Scout membership growth, volunteer engagement, camp participation, program enrollment, and donor outreach — from scoping and timeline development to cross-functional coordination and final delivery.
  • Coordinate the council editorial timeline: track upcoming deadlines and deliverables, prepare materials and agendas for editorial meetings, and keep Asana current so the team is always working from an accurate picture.
  • Collaborate with teams across the organization to assess needs, align messaging, and ensure marketing initiatives reflect and advance council-wide goals.
  • Anticipate risks and bottlenecks in campaign delivery and proactively develop solutions or contingency plans.
  • Apply advanced knowledge of marketing, communications, and audience engagement strategies to create effective messaging and content plans.
  • Coordinate with internal departments to gather input and publish council newsletters and other recurring communications.
  • Manage shared department inboxes including daily monitoring, drafting clear and professional responses, routing inquiries to the right owner, and flagging anything time sensitive.
  • Maintain the department’s project management systems, workflows, and campaign/editorial calendars.
  • Build, improve, and document department workflows, processes, and communications standards.
  • Proactively coordinate with teams across departments to gather project requirements, align on messaging priorities, and support the timely execution of marketing campaigns.
  • Participate in cross-functional planning meetings to track deliverables, confirm timelines, and address potential roadblocks.
  • Collaborate with internal stakeholders and external vendors to support smooth handoffs, feedback loops, and timely delivery of creative assets.
  • Coordinate logistics for marketing-supported events and conferences, including scheduling, vendor coordination, run-of-show planning, shot lists, production plans, and on-site support as needed.
  • Interface with parents and caregivers as needed to coordinate Girl Scout participation in marketing-supported programs, events, or content capture.
  • Support vendor and contractor coordination, including scheduling, deliverables, and budget tracking.
  • Collaborate with staff, volunteers, Girl Scouts, and alumni to gather stories that support campaign messaging, newsletter content, and press opportunities.
  • Attend events or site visits as assigned to document stories and capture creative content as assigned.
  • Conceptualize email and social media designs in alignment with Girl Scouts’ brand guidelines, style guide, and templates.
  • Source and organize creative assets, including photography, for use across digital and print platforms.
  • Assist with GSNorCal’s website updates and email marketing execution.
  • Oversee the council-wide PDF asset library, maintaining version control, organization, and accessibility of key documents across departments.
  • Copywriting and copyediting campaigns, newsletters, and other communications.
