About The Position

Rugby Canada is the national governing body for rugby in Canada. This role supports national marketing and communications initiatives that strengthen rugby communities coast to coast and reflects our One Squad approach to collaboration across departments, Provincial Unions, and partners. The Marketing & Communications Coordinator supports the planning and execution of integrated communications and marketing initiatives aligned with Rugby Canada’s National Growth Plan and sport development strategies. The role requires strong hands-on experience using HubSpot for campaign execution and PlayHQ (or a similar sport registration system) for registration-related communications, as well as fluency in both English and French.

Requirements

  • Bilingual in English and French
  • 2–4 years of experience in marketing, communications, or sport administration (non-profit or sport environment preferred)
  • Demonstrated experience using HubSpot and PlayHQ
  • Strong writing, editing, organizational, content creation, and collaboration skills
  • Experience with digital platforms such as WordPress and social media channels
  • Familiarity with multi-channel campaign delivery and stakeholder communications
  • Legally able to work in Canada
  • Collaborative, relationship-oriented, and comfortable working across teams
  • Highly organized with strong time-management skills and attention to detail
  • Proactive self-starter with a growth mindset
  • Able to manage shifting priorities in a fast-paced, national organization

Nice To Haves

  • Basic graphic design skills or experience with Canva or Adobe Creative Suite
  • Knowledge of Canadian amateur sport systems or the rugby landscape

Responsibilities

  • Coordinate communications and marketing efforts across departments supporting governance, member services, coach development, officiating, registration, and grassroots growth
  • Develop and implement campaigns aligned with Rugby Canada’s National Growth Plan and sport development strategies
  • Work closely with internal teams and Provincial Unions to highlight collaborative initiatives and community success stories that reflect our One Squad approach
  • Maintain an editorial calendar in Monday.com, tracking key events, deadlines, and milestones
  • Support campaign development, execution, and tracking using HubSpot
  • Support communication with Member Unions, community clubs, and sport partners through newsletters, announcements, toolkits, and guidelines
  • Assist with drafting consistent internal and external communications aligned with Rugby Canada’s brand and voice
  • Support distribution and tracking of key messages related to registration, policies, and seasonal campaigns
  • Write and edit content for Rugby Canada’s website, social media platforms, and email communications
  • Collaborate with creative and digital teams to develop graphics, video, and multimedia content
  • Contribute to national storytelling initiatives that showcase rugby communities across Canada
  • Collaborate with Member Services and Registration teams to communicate key registration processes, system updates, and timelines
  • Support communications related to PlayHQ, including registration campaigns, platform updates, and user-support materials
  • Track campaign performance and engagement to inform future initiatives
  • Contribute to post-campaign reviews and continuous improvement efforts
  • Coordinate the official languages budget and use of translation services
  • Support staff across the organization in managing translation workflows
