About The Position

The Marketing & Communications Specialist plays an important role in helping us communicate our mission of clear, consistent, and meaningful communication for thriving communities. This role supports sales growth, strengthens client relationships, and ensures our brand message is delivered clearly and consistently across every channel. If you enjoy writing, organizing campaigns, coordinating marketing initiatives, and helping a growing company tell its story effectively, this role offers the opportunity to make a meaningful impact. The Marketing & Communications Specialist supports the VP of Sales by developing and executing marketing and communication initiatives that promote the company’s services, strengthen brand awareness, and support business growth. This role focuses heavily on client and prospect communication, including newsletters, drip campaigns, and targeted email marketing designed to educate boards, inform homeowners, and nurture prospective client relationships. The Marketing & Communications Specialist also helps coordinate marketing campaigns, maintain marketing calendars, support sales presentations and materials, and ensure all communications reflect the company’s brand voice and standards.

Requirements

  • Bachelor’s degree in Marketing, Communications, Business, or related field preferred.
  • Two or more years of experience in marketing, communications, or a similar role.
  • Strong writing, editing, and proofreading skills.
  • Experience managing email campaigns and marketing automation tools.
  • Ability to organize multiple campaigns, deadlines, and priorities simultaneously.
  • Strong collaboration skills and ability to work closely with sales leadership.

Nice To Haves

  • Experience working with Zoho CRM or Zoho Campaigns is a plus.

Responsibilities

  • Creating and managing client newsletters and regular communication updates.
  • Developing email drip campaigns for prospective clients and referral partners.
  • Managing marketing email campaigns through Zoho Campaigns and Zoho CRM.
  • Scheduling and distributing communication to boards, clients, and prospective communities.
  • Ensuring communications reflect the company’s brand voice and messaging standards.
  • Monitoring engagement and optimizing campaigns for effectiveness.
  • Coordinating marketing campaigns promoting the company’s services and solutions.
  • Supporting targeted campaigns for prospective HOA clients and referral partners.
  • Maintaining marketing calendars and campaign schedules.
  • Tracking campaign performance and reporting results to the VP of Sales.
  • Assisting with marketing initiatives designed to support company growth.
  • Creating and maintaining sales collateral such as brochures, presentations, flyers, and digital materials.
  • Supporting proposal and presentation development for prospective clients.
  • Ensuring all materials maintain consistent messaging and brand standards.
  • Coordinating updates to marketing materials as services evolve.
  • Ensuring all communications reflect Community Association Management’s brand voice and visual standards.
  • Coordinating with the company’s marketing vendor for design, creative development, and production of marketing materials.
  • Supporting website updates, landing pages, and digital marketing initiatives when needed.
  • Gathering testimonials, service highlights, and success stories that strengthen market credibility.
  • Supporting marketing and promotion for sales events and networking opportunities.
  • Assisting with planning and promotion of board education seminars or community events when applicable.
  • Coordinating marketing materials and communications for company events.
