Requirements

  • Minimum of a High School diploma/GED.
  • 5-7 years of Office Administrative experience required.
  • Microsoft Office Suite proficiency (basic to above average computer skills including Excel).
  • Ability to perform basic quantitative skills.
  • Ability to work with all areas of the business including plant and sales personnel.
  • Professional verbal and written communication skills.
  • Always conduct oneself with the highest level of professionalism.
  • Strong customer service advocacy and problem-solving skills.

Nice To Haves

  • Associates or bachelor’s degree preferred.
  • CRM experience preferred.
  • Bilingual English/Spanish a plus.

Responsibilities

  • Establish relationships with customers and resolve complaints satisfactorily, obtaining supervisor guidance when necessary.
  • Manage order entry and maintenance for assigned accounts, filing customer paperwork such as shipping documentation and customer orders.
  • Review plant delivery schedules against requested dates, resolving conflicts by tracking and communicating changes and potential service issues to customers.
  • Communicate order confirmations, changes, and cancellations to customers and internal team members.
  • Submit Delivery Receipts for billing after shipment and prepare Credit Memos for customer issues.
  • Prepare reports for Plant Management and customers, such as inventory and open order reports, and track shipments associated with invoices.
  • Process plant claims, including deductions for shortages, quality issues, and miscellaneous items.
  • Print work orders and report daily production.
  • Compile data from multiple sources into spreadsheets, create graphs, and prepare PowerPoint presentations.
  • Ensure incoming materials match packing lists and update inventory as applicable.
  • Complete inventory cycle counts on a predetermined schedule.
  • Work hands-on on the production floor with supervisors to coordinate orders, schedules, and carriers for outbound loads.
  • Print and collect BOLs as orders are shipped.
  • Confirm work orders are released correctly and resolve any issues promptly.
  • Code and enter invoices, complete 3-way match, and resolve errors with receipts.
  • Reconcile price differences between POs and invoices, and maintain AP records.
  • Prepare documents for controller for month-end accruals.
  • Communicate payment information to vendors as requested.
  • Order office, janitorial, and other miscellaneous plant supplies.
  • Restock breakrooms and office supplies.
  • Maintain capital files.
  • Verify production entered against production reported.
  • Sign for packages and sign vendors and visitors in/out.
  • Assist Supervisors, Managers, and HR Generalist/Manager with tracking PTO/vacation requests.
  • Keep employee communication boards updated, including federal and state postings.
  • Act as a liaison for basic HR-related questions, directing employees to HRG/HRM for more complex issues.
  • Track and coordinate plant celebrations.
  • Coordinate and order meals for trainings and guest visits.
  • Collect confidential employee items, such as doctor's notes, and store them securely.
  • Assist HRM with Open Enrollment activities and communications.
  • Conduct pre-employment mouth swab drug tests once trained.
  • Conduct hourly new hire onboarding using the Oracle platform, including electronic I9/E-verify.
  • Phone screen hourly candidates once trained.
  • Help coordinate, schedule, and participate in onsite job fair events.
  • Perform other duties as assigned by management.
