Rippling•San Francisco, CA
•$111,000 - $185,000•Onsite

About The Position

Rippling is looking for a West Coast Workplace Manager to own the day-to-day operations and operational readiness of our West Coast offices. This is a hands-on leadership role for someone who can move fluidly between strategy and execution. This role is ideal for someone who is highly organized, resourceful, calm under pressure, and energized by solving real operational problems. You will be the operational point person for our West Coast workplace footprint, with focus on our San Francisco HQ, Seattle, and Austin offices. You’ll manage onsite workplace teams and vendors, translate business needs into practical operating plans, and build the playbooks, processes, and feedback loops that help our Workplace team scale without adding unnecessary complexity.

Requirements

  • 7+ years of experience in workplace operations, including 3+ years management experience in high-growth technology or multi-site workplace environments.
  • Strong hands-on operational instincts; you notice the details, solve problems quickly, and don’t wait for someone else to own the issue.
  • Strong project management, written, and verbal communication skills, including the ability to manage timelines, dependencies, stakeholders, vendors, budgets, and onsite execution.
  • Comfort operating in a fast-paced, high-change environment where priorities shift and execution speed matters.
  • Strong judgment around employee experience, cost discipline, vendor performance, and operational risk.
  • Experience building SOPs, playbooks, trackers, intake processes, dashboards, or other systems that make operations more scalable.

Responsibilities

  • Own day-to-day West Coast workplace operations
  • Lead the daily operations of Rippling’s West Coast workplace operations, with a strong focus on our San Francisco headquarters.
  • Manage, coach, and develop a team of Workplace Coordinators through practical ownership of projects, documentation, systems, and cross-functional work.
  • Proactively identify issues, respond quickly to employee needs, and ensure operational standards are being met in real time.
  • Oversee core workplace services including facilities, janitorial, supplies, mail/package handling, food and beverage, conference rooms, visitor support, and general office readiness.
  • Use data from tickets, employee feedback, walkthroughs, incidents, and team observations to identify patterns and improve the employee experience.
  • Support office openings, moves, decommissions, and other workspace changes as part of the team’s broader operational rhythm.
  • Build operational standards and scalable processes
  • Create, improve, and standardize workplace programs, SOPs, playbooks, and trackers that help the global Workplace team operate consistently across offices.
  • Identify manual or repetitive workflows that should become templates, automations, dashboards, forms, or lightweight internal tools.
  • Balance consistency with local office nuance, ensuring standards are useful in practice rather than theoretical.
  • Build practical project plans, timelines, employee communication plans, and onsite readiness plans for major workplace changes.
  • Manage vendors, budgets, and operational partners
  • Manage regional vendors, ensuring vendors meet quality, responsiveness, cost, and service expectations.
  • Own vendor escalations and recurring business reviews, translating feedback into clear corrective actions.
  • Support budget planning, invoice review, and purchase approvals for West Coast workplace operations.
  • Make practical tradeoffs that reflect Rippling’s operating principles: frugality, urgency, and high standards.
  • Evaluate when to insource, outsource, renegotiate, simplify, or change vendors based on operational need and employee impact.
  • Partner cross-functionally to improve the employee experience
  • Act as a trusted operational partner to leaders and teams who depend on the office experience.
  • Translate employee feedback and business needs into specific workplace improvements.
  • Partner with Workplace Technology and IT on AV and Network issues, control access tooling, and office technology reliability.
  • Coordinate across business stakeholders to ensure workplace changes are practical, well-communicated, and executed on time.
