About The Position

The Manager - Scheduling directs daily activities of the scheduling department and provides direct interaction with hospital operating room scheduling. In addition, this position will maintain positive relationships with all facilities who work with USAP, ensuring that information is provided timely and problem resolution is a seamless process. This position is 100% on site in Fort Wayne, Indiana. At this time, US Anesthesia Partners does not hire candidates residing in California, Hawaii, or Alaska.

Requirements

  • Bachelor’s degree.
  • 3-5 years of hands-on scheduling experience in a hospital/surgery center or high-volume surgery practice (or equivalent combination of education and experience).
  • 2-3 years of proven supervisory or leadership experience in a high-volume demanding environment.
  • Working knowledge of scheduling, general physician practices, and hospital operating room workflows.
  • Demonstrated ability to collaborate cooperatively with physicians, all staff members, and external customers.
  • Strong problem-solving skills.
  • Strong attention to detail.
  • Working knowledge of computers and basic programs including Excel and Word.

Nice To Haves

  • Prior anesthesia scheduling experience preferred.
  • Certification in medical terminology is helpful.

Responsibilities

  • Maintains daily contact with all levels of personnel, including physicians, division managers, and a multitude of external contacts at all levels.
  • Manages and monitors the scheduling department staff functions: Interviews, hires, and trains all staff.
  • Ensures compliance with USAP’s policies and procedures.
  • Counsels employees both ongoing and as part of the annual review process.
  • Ensures performance standards are achieved.
  • Schedules, assigns, and monitors staff assignments including but not limited to approving time off requests and ensuring adequate staff coverage.
  • Monitors future man-power needs by vigilant review of vacation, call, and projected needs.
  • Maintains cross coverage data.
  • Ensures that all in-house schedules are completed daily in a timely and accurate manner.
  • Maintains updated policies and procedures for each division as outlined via division rules.
  • Provides personal coverage for all positions.
  • Fosters and maintains a positive work environment through staff recruitment and the retention of experienced and motivated staff.
  • Provides weekly, monthly, or quarterly reports as requested.
  • Works with the director to maintain yearly budget at or below projections.
  • Provides daily leadership by example and responds to problems as they occur.
  • Performs other duties as assigned.
