Manager, Sales Operations & Order Administration

Lyten•San Jose, CA
•$128,200 - $192,400

About The Position

The Manager, Sales Operations & Order Administration, is a critical leadership role at the intersection of our commercial, supply chain, and finance organizations. You will own the end-to-end order-to-cash process—from CRM hygiene and pipeline forecasting through customer order entry, fulfillment coordination, downstream logistics execution and post-shipment invoicing handoff. As Lyten transitions from pilot programs to volume production, you will build the scalable systems, processes, and team that allow us to onboard new customers, ship on time, and recognize revenue cleanly. This is a player-coach role for a hands-on operator who is energized by ambiguity, comfortable in a fast-moving manufacturing startup environment, and ready to build something durable.

Requirements

  • Master's degree in a relevant field (e.g., business, operations, materials science, mechanical engineering, electrical engineering, and chemical engineering) AND 5+ years of experience in a relevant field OR Bachelor's degree in a relevant field (e.g., business, operations, materials science, mechanical engineering, electrical engineering, and chemical engineering) AND 7+ years of experience in a relevant field OR equivalent experience
  • Demonstrated experience owning order-to-cash in a hardware, manufacturing, automotive, energy storage, semiconductor, or industrial B2B environment.
  • Deep, hands-on Salesforce expertise (admin-level fluency required); experience integrating Salesforce with an ERP (NetSuite, SAP, Oracle, or similar).
  • Strong command of forecasting methodology, pipeline analytics, and commercial KPIs; advanced Excel / Google Sheets and comfort with BI tools
  • Track record of building processes and SOPs from scratch, not just operating mature ones.
  • Excellent written and verbal communication; able to work cleanly across executive, technical, and customer-facing audiences.
  • Working understanding of downstream supply chain and logistics execution (freight, carriers, shipment documentation) as it intersects with order fulfillment

Nice To Haves

  • Experience supporting a business through pilot-to-production transition or first commercial revenue.
  • Familiarity with battery, EV, energy storage, or advanced materials customers and the associated long-cycle, design-win sales motion.
  • Working knowledge of SOX controls, ASC 606 revenue recognition, and Incoterms / international shipping documentation.
  • HazMat goods regulations and documentation experience
  • CPQ implementation experience (Salesforce CPQ, Conga, or similar).

Responsibilities

  • Own the full Salesforce instance: data quality, opportunity stages, account hierarchy, dashboards, and reporting cadence for the commercial team.
  • Drive the weekly, monthly, and quarterly forecast process; partner with sales and operations leadership to deliver accurate pipeline calls and variance analysis to executives and the board.
  • Build commercial KPIs (win rate, sales cycle, ASP, design-win conversion) and the operating cadence to act on them.
  • Lead the order administration function: customer onboarding, order entry, order acknowledgment, change orders, and shipment coordination across Lyten's North American.
  • Own the order-to-cash workflow end-to-end—pricing approvals, deal desk, contract review handoffs, PO validation, ERP order release, and revenue recognition handoff to Finance.
  • Maintain working knowledge of outbound logistics — carrier coordination, freight terms, and shipment documentation — sufficient to troubleshoot fulfillment issues without escalating every exception.
  • Serve as the single point of accountability for on-time, accurate customer shipments; resolve cross-functional blockers between Sales, Supply Chain, Quality, and Logistics.
  • Manage customer master data, pricing master data, and contract terms in the ERP; ensure SOX-aligned controls are in place as we scale.
  • Define and continuously improve SOPs for the commercial operations function; document, train, and audit for adherence.
  • Lead system integration projects between CRM (Salesforce), ERP, CPQ, and downstream finance/inventory tools; partner with IT on roadmap and implementation.
  • Build and lead a small high-performing team (initially 2–4 order administrators and sales ops analysts); coach, hire, and develop talent as the function scales.
  • Partner with Legal on standard T&Cs, NDA workflows, and customer contract intake; with Finance on credit review, AR aging, and revenue recognition; with Supply Chain on demand signals and allocation.
