About The Position

The Manager, Property Administration reports to the Director of Real Estate and Space Planning and supports the college's occupancy management, property administration, and campus move functions. The Manager maintains campus space data, occupancy records, and floor plans; coordinates campus relocations; supports leased and owned properties. This is an important role that requires attention to detail, excellent interpersonal and organizational skills, and an ability to collaborate with a diverse set of stakeholders.

Requirements

  • Bachelor's Degree in a related field required
  • 3-5 years of experience in facilities management, property administration, commercial real estate, or a related field required.
  • Exceptional accuracy and attention to detail required
  • Ability to read and understand legal documents
  • Good math skills
  • Intermediate to Expert proficiency in MS Excel and the ability to learn new software easily
  • Ability to interpret architectural and engineering drawings.
  • Working knowledge of occupancy management, and facility utilization analysis.
  • Ability to tour a property and identify safety issues and construction flaws
  • Ability to schedule and supervise student workers
  • Excellent organizational skills and the ability to maintain multiple projects simultaneously and to prioritize tasks
  • Self-starter with excellent interpersonal communication and problem-solving skills
  • Movement throughout the college buildings is routinely required.
  • Ability to have continuous oral and written communication with clients, co-workers and supervisors is essential.
  • Repetitive movements, frequent lifting of up to 30 pounds, reaching, pushing, stooping, climbing, and the ability to read a computer screen, detect color-coding, and read fine print will be expected.

Nice To Haves

  • Professional certifications related to property management, facilities management, or real estate are preferred.

Responsibilities

  • Manage lease records and maintain tracking system for properties owned and leased by the college, including lease terms, critical dates, operating expenses, and occupancy information.
  • Calculate and administer tenant allocations for real estate taxes (RET), common area maintenance (CAM), and other applicable occupancy-related charges.
  • Serve as tenant liaison and provide excellent customer service to tenants related to any aspect of their tenancy, including but not limited to tenants’ waste management practices and safety of egress areas.
  • Maintain accurate faculty and staff location data, and manage the data as needed when employees are onboarded or departed.
  • Implement and coordinate space moves throughout the campus approved by Senior Leadership.
  • Draft scopes of work and oversee all minor capital projects and relocations to ensure design standards are adhered to.
  • Perform regular inspections of college’s buildings, monitoring cleanliness and the curb appeal.
  • Manage furniture on campus, including the purchase, delivery and assembly of new furniture, and the inventory of existing furniture in use and in storage.
  • Maintain the interior and exterior signage program across campus adhering to campus standards.
  • Serve as liaison with Property Managers or owners of leased properties in relation to the cleanliness of offices, key and security issues, work orders, and building access.
  • Inform college stakeholders of any activity that may interfere with normal business operations
  • Responsible for responding to emergencies during off-hours
  • Perform other miscellaneous duties as assigned
