This role manages the daily administration of policies and programs covering departmental recruiting, operational training, safety, and general business operations by providing various administrative support activities. The Manager will oversee the daily activities of a support, production, or operations team, setting priorities to ensure task completion and coordinating work activities with other supervisors. Key responsibilities include managing, evaluating, and providing feedback to staff, creating and documenting critical customer-facing processes, ensuring compliance with policies, protecting confidential data, and maintaining office coverage. The role also involves training and developing departmental resources, managing employee scheduling and calendars, and supervising the payroll function. Collaboration with cross-functional teams is essential to ensure accurate and timely hiring and payment of employees and/or students. The Manager will guide managers through payroll approval processes and oversee new-hire onboarding, including technology and space arrangements, and new-employee orientation. They will also implement University policies and compliance changes, manage departmental input for the annual merit program, monitor the performance evaluation program, and provide guidance on HR policies such as performance coaching, career development, and leaves of absence.

Requirements

  • Bachelor's degree and 4 years of relevant experience required
  • Or equivalent combination of education and experience

Responsibilities

  • Manages daily administration of policies and programs covering departmental recruiting, operational training, safety, etc.
  • Manages general business operations by providing various administrative support activities.
  • Manages the daily activities of a support, production or operations team.
  • Sets priorities for the team to ensure task completion and coordinates work activities with other supervisors.
  • Manages, evaluates, and provides feedback and guidance to staff.
  • Creates, defines, documents critical customer facing processes.
  • Ensures compliance with policy and consistency with University procedures where applicable.
  • Protects private and confidential data.
  • Maintains coverage of offices, inquiry mailboxes, and phone lines.
  • Oversees timely and thorough responses.
  • Trains, develops, and leads departmental resources key to smooth and successful operations, including routine staff meetings, one-on-one trainings, annual performance goals and reviews, etc.
  • May include scheduling employees and managing the employee calendar.
  • Manages and supervises the payroll function.
  • Maintains authority for advising on appropriate payment method of employees/contractors.
  • Collaborates with cross functional teams to ensure all employees and/or students are hired and paid accurately, timely and in accordance with policy.
  • Guides managers on the biweekly, semi-monthly and monthly payroll approval process for all staff, faculty and/or students and ensures staff time worked and reported is accurately reflected in accordance with federal and state law.
  • Manages departmental recruiting, hiring, set-up, and welcome activity for all new hires.
  • Ensures staff are hired in accordance with University policies.
  • Initiates technology and physical space arrangements.
  • Coordinates announcements.
  • Establishes, implements and oversees departmental new-employee orientation.
  • Carries out University policies and/or compliance changes as directed from Central Human Resources/Compensation.
  • Manages the departmental input to the annual merit program, provides guidance to management on implementation to ensure annual performance dialogues are completed, consults with management and makes recommendations as appropriate.
  • Monitors the performance evaluation program and revises as necessary.
  • Ensures compliance with University human resource policies and provides day-to-day guidance in concert with HR Business Partners on topics such as performance coaching and counseling, career development, disability and other leaves, policy assistance and provides direction to appropriate University resources/subject matter experts.
