Location Simpson Querrey Biomedical Research Center Job Description Job Summary The Manager for the Office of the Chief Research Officer plays a pivotal role in ensuring seamless administrative and operational support to the Chief Research Officer (CRO). This individual is responsible for managing the daily administrative operations, coordinating projects, and overseeing communications and event management. A key responsibility includes maintaining and managing the CRO's schedule, acting as a gatekeeper to optimize their time and focus. Reporting directly to the CRO, the Manager is a vital member of the executive office, instrumental in building relationships and exceeding expectations at all organizational levels. They provide high-level support by preparing agendas, reports, presentations, and managing confidential information, alongside handling information requests and scheduling needs. The role demands a proactive approach to supporting leadership goals, including conducting research, preparing briefs, and performing analysis crucial for key deliverables. The Manager attends meetings with the CRO as needed, serving as a liaison and efficiently handling requests from direct reports and colleagues. They also maintain discretion and confidentiality as a confidante to the CRO. Independence, autonomy, and the ability to work with a high degree of tact and diplomacy are essential. The role includes leading and facilitating specific projects and initiatives, ensuring quality and timely execution. Specific projects encompass various programs like Physician-Scientist Training, Kids-Inspired Innovation Careers in Science, and HMI3 Lunch & Learn, among others. The Manager is expected to challenge norms, recommend innovative solutions, and collaborate effectively with administrative support staff to align work priorities. They handle financial and logistical tasks, including processing expense reimbursements, making travel arrangements, preparing expense reports, and managing check requests.

Requirements

  • Bachelors’ degree or 7-10 years of experience working with executive leadership teams and/or management experience required in a highly complex organization.
  • Proficient using Microsoft Office Suite and Workday.
  • Detail oriented.
  • Excellent organizational, interpersonal and communications skills essential.
  • Ability and experience coordinating the activities and deliverables of multiple stakeholders from various areas in an organization.
  • Able to deliver clear and concise communications, and to write effectively.
  • Must have ability to work in a fast-paced environment, to handle multiple priorities, while being highly organized, and to work under strict deadlines.
  • Problem solving initiative to resolve situations.
  • Ability to analyze situations, determine their significance and plan appropriate course(s) of action.
  • Demonstrated ability to develop effective partnerships across the organization at all levels.
  • Demonstrated experience in managing the development of and implementing projects.
  • Ability to work successfully in a matrix managed environment
  • Demonstrated knowledge of research, healthcare operations and systems desired.

Responsibilities

  • Meet frequently with the CRO to keep him/her abreast of key developments and ensure synchronization of expectations.
  • Support CRO, including oversight of daily administrative operations, project coordination, communications, and meeting/event management. Ensures all logistics are complete and confirmed. Provides background material/documentation for meetings and sends reminders of meetings to participants.
  • Manages CRO schedule and gatekeeps.
  • Reports directly to the CRO and is a key member of the executive office.
  • Key competencies: building relationships and exceeding client and management expectations at all levels of the organization; providing high-level support by preparing agendas, reports, presentations, handling information requests, scheduling needs, managing confidential information and other needs as required.
  • Responsible for supporting leadership goals. Conduct data and material collection to prepare briefs, presentations, and documents and perform analysis supporting key deliverables.
  • Attend meetings with the CRO, as appropriate, to represent the function.
  • Serve as liaison between the CRO and direct reports/colleagues, handling requests efficiently and timely manner.
  • Serve as confidante to the CRO, managing all information with discretion and confidentiality.
  • Demonstrate ability to work with great degree of autonomy, working independently on projects and having the ability to use a high degree of tact and diplomacy when handling matters that are critical or confidential in nature.
  • Serves on or leads committees and councils.
  • Lead and facilitate key departmental projects and initiatives, ensuring the timely execution and quality of results.

  • Demonstrates courage to challenge the norm, question the direction, and recommend innovative solutions.
  • Ability to effectively collaborate with administrative support staff to ensure coordination of work and alignment of priorities are aligned.
  • Processing expense reimbursements, invoices, etc. Communications support.
  • Makes travel arrangements and prepares expense reports; reconciles travel documents.
  • Prepares check requests for expenses, speaker’s honorariums, etc.
  • Capturing meeting minutes and following up on meeting action items.
  • Assists with planning and support of retreats, meetings, and other events.
