About The Position

The Manager of Special Events at Park Avenue Armory focuses on the fundraising, planning, and oversight of high-end events for major donors, sponsors, and members. This role is crucial for supporting unconventional works in the visual and performing arts by managing and executing approximately 25 to 40 events annually, including the high-profile annual Gala which hosts 500 donors. The position involves strategic frontline fundraising, project management, deadline management, and building strong relationships with donors and stakeholders within a small, entrepreneurial Special Events team.

Requirements

  • 2-3 years’ experience in managing special events or being a frontline patron fundraiser for a non-profit organization, preferably culture- or arts-focused.
  • Proven excellence in organization and attention to detail.
  • Demonstrated ability to take initiative, proactively manage multiple priorities and projects with tight and changing deadlines, and work both independently and collaboratively.
  • Experience improving existing systems and developing new processes for increased efficiency and productivity.
  • Outstanding interpersonal skills and excellent written and verbal communication skills.
  • Sound judgment, professionalism, and discretion in handling confidential information and sensitive matters.
  • Strong proficiency in the Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and internet research.
  • Ability to work nights, weekends, and holidays, as needed.

Responsibilities

  • Help manage and execute the Armory’s fundraising events that raise over $2.7 Million, including an annual Gala, holiday family fundraiser, and production-specific benefit events.
  • Manage, implement, and systematize select administrative and logistical aspects of the annual major fundraisers, including managing financials, coordinating mailings and solicitors, and serving as the point-person for catering and other areas.
  • Collaborate with key executive staff on special projects such as printed materials, run of show, entertainment, and décor for the Gala and large events.
  • Manage a portfolio of cultivation and private events for donors and membership groups, including event conception, logistics planning, budget management, and event execution supervision.
  • Coordinate all back-office administration, including contracts, vendor agreements, ordering supplies, scheduling meetings, submitting work requests, and tracking/processing expenses.
  • Ensure all events in the historic spaces align with the institution's aesthetic standards.
  • Collaborate with applicable Armory departments to ensure coordinated event planning and execution, including communication, troubleshooting, participating in operational meetings, and maintaining the master calendar.
  • Perform other event management responsibilities as needed.
  • Galvanize support for fundraising events by building engagement with committee leadership, members, event leadership, and donors.
  • Implement new and improve existing systems for financial revenue and expense tracking.
  • Proactively use Tessitura (the fundraising CRM) to store fundraising and events data.
  • Perform other fundraising, event, and development responsibilities as needed, including working other events and staffing the patrons table during performances.
  • Build and supervise a dynamic events team, including staff, interns, consultants, contractors, and vendors, managing schedules, assigning tasks, and ensuring timely completion of work.
  • Assist Director of Special Events in building and maintaining productive working relationships within the development department and with other departments.
  • Perform other supervisory duties as needed, which may include recruiting, hiring, performance evaluation, discipline, and recommending changes in compensation or employment status.
