About The Position

The Manager, Operations will play a central role in driving the effectiveness of our organization, working directly under the supervision and guidance of the CFO. This position will be responsible for overseeing day-to-day operations, policies, procedures and Vital Voices Headquarters (VVHQ) management. The Manager will work collaboratively across all teams to drive operational strategy and planning. The Manager works in close collaboration with the Operations, Communications & Events, and Technology teams to best serve staff, guests and network leaders. This position is based in Washington, DC with the option of a hybrid work schedule. We are not accepting remote candidates at this time.

Requirements

  • Bachelor’s degree plus 4-8 years of relevant work experience required
  • Previous building operations, rental experience and vendor management experience required
  • Demonstrated experience establishing and driving organizational performance frameworks, including KPIs, OKRs, and annual goal-setting processes
  • Excellent oral and written communications skills in English.
  • Ability to prioritize tasks, swiftly shift priorities, and work in a fast-paced environment with tight deadlines, sometimes under difficult or challenging circumstances.
  • Ability to work independently and as part of a dynamic team.
  • Demonstrated cultural sensitivity and self-awareness.
  • Strong computer skills including MS Office applications (esp. Excel, Word, and PowerPoint), social networking tools, project management and database software (i.e., Salesforce, Asana).

Responsibilities

  • Management and oversight of VVHQ operations
  • Ensure that VVHQ runs efficiently and effectively to best serve staff, guests and network leaders
  • Manage vendor and contractor relationships in collaboration with the Operations Coordinator, enabling a thriving work environment
  • Oversees VVHQ safety and security including maintenance and site inspections, emergency response and managing risk
  • Develop and implement policies and procedures
  • Manage VVHQ building operations budget
  • Work in partnership with the events department to coordinate and schedule all VVHQ bookings and rentals, while optimizing use of the space to generate revenue and support organizational sustainability
  • Oversee all facility use for internal staff use, meetings and events
  • Implement policies and procedures that will improve day-to-day operations
  • Lead the operational planning and execution of organizational priorities, partnering cross-functionally to drive OKR development, alignment and ongoing process tracking
  • Lead cross-functional project management (PMO) processes, delivering strategic guidance and specific solutions to ensure teams remain organized, aligned and on schedule
  • Leverage technology, including Asana, to improve overall operations
  • Develop and maintain operations manual
  • Direct the contracts and procurement process
  • Oversee vendor and contractor relationships
  • Partner closely with People Operations to plan, execute, and continuously improve staff-wide gatherings such as “Home Weeks” and internal communications, ensuring they are aligned with organizational priorities
  • Identify operational gaps and implement process improvements
  • Coordinate the insurance process in collaboration with the Assistant Controller and CFO
  • Provide oversight and management of key travel vendors, including Healix and Key Travel, ensuring service quality
  • Coordinate pre-travel briefings with Healix to ensure staff are fully prepared prior to international travel
  • Continuously improve end-to-end organizational travel processes
  • Manage the Operations Coordinator
  • Support, guide and partner with Operations Coordinator for professional success
  • Develop, mentor and train on operations protocols and systems
  • Continuously provide feedback and evaluate performance management
  • Identify and support career advancement opportunities
