About The Position

Plans, organizes, directs, and manages Medical Staff Services, including credentialing and privileging, provider enrollment, recruitment and onboarding support, medical staff governance, Continuing Medical Education (CME), and Student Learner programs. Provides leadership for department operations, staff performance, budget management, regulatory compliance, and continuous improvement. Serves as a key liaison between medical staff, providers, hospital leadership, caregivers, departments, external organizations, and regulatory/accreditation agencies. Promotes a positive provider experience and supports the medical staff and organization in achieving Summit Pacific Medical Center's mission, vision, and strategic priorities.

Requirements

• Bachelor’s degree in related field of study, required.
• 3 years of directly related work experience that includes working with medical staff/providers and coordination of complex programs and related regulatory requirements.
• Two years of supervisory experience.
• Advanced knowledge of medical provider credentialing and privileging requirements and practices.
• Proficient in the use of current technology, including Microsoft Office products.
• Ability to learn and effectively use electronic medical records and other systems and equipment.
• Professional and effective written and verbal communication skills.
• Ability to identify and employ communication strategies appropriate to the audience.
• Ability to maintain accurate documentation and records in a timely manner.
• Ability to cultivate effective partnerships and work in collaboration with providers and other health care professionals.
• Strong accuracy and attention to detail.
• Ability to work independently performing a wide variety of assignments that require the use of independent judgment, systems-thinking, problem-solving, organization, and prioritization skills.

Responsibilities

• Provides overall leadership and accountability for Medical Staff Services operations, performance, service delivery, and regulatory compliance.
• Supervises, develops, and evaluates department staff; manages staffing, performance, engagement, timekeeping, and competency.
• Manages the department budget and resources and participates in organizational leadership and operational meetings.
• Develops and monitors department performance measures, reports, and improvement strategies.
• Maintains accurate records, data integrity, provider information, and effective use of medical staff technology and systems.
• Performs special projects and other duties as assigned.
• Coordinates and supports provider recruitment activities, including job postings, marketing, candidate screening, interview scheduling, travel, meals, rooms, tours, recruitment materials, and provider welcome activities.
• Maintains recruitment status information and provides regular updates to leadership.
• Participates in provider contract review and execution, coordinating communication and approvals among appropriate parties.
• Coordinates provider onboarding from contract execution through payer enrollment and first-day readiness, including compliance requirements, system access, orientation, and facility integration.
• Promotes a streamlined, welcoming provider experience throughout recruitment and onboarding.
• Administers and manages timely and accurate credentialing and recredentialing for employed, contracted, locum, and other medical staff providers.
• Performs or oversees primary source verification, application processing, background and regulatory checks, and related credentialing activities in accordance with CMS, DNV, medical staff bylaws, and organizational requirements.
• Maintains efficient credentialing turnaround and accurate provider records, including licenses, certifications, malpractice insurance, DEA registrations, board certification, and other expirables.
• Administers medical staff privileging and ensures clinical privileges are supported by verified education, training, experience, and competency.
• Coordinates OPPE and FPPE processes and supports peer review and practitioner improvement activities in collaboration with Quality, Risk, and medical staff leadership.
• Coordinates provider enrollment with Medicare, Medicaid, commercial payers, and other applicable programs to support organizational billing and reimbursement.
• Reviews and follows up on NPDB, FSMB, WATCH, RHE, and other required credentialing and regulatory information.
• Provides administrative support for MEC, Credentialing Committee, Provider Leadership, Utilization Management, CME, and other medical staff committees and meetings.
• Prepares agendas, meeting materials, minutes, action items, and follow-up and coordinates medical staff meeting schedules and events.
• Maintains Medical Staff Bylaws, Rules and Regulations, policies, procedures, and related governance documents.
• Supports DNV survey readiness and compliance with CMS Conditions of Participation, accreditation standards, medical staff bylaws, and applicable laws and regulations.
• Coordinates medical staff retreats, dinners, annual events, and other provider activities as appropriate.
• Serves as a resource to providers and organizational departments regarding medical staff policies, processes, credentialing, and governance matters.
• Builds strong working relationships with providers, medical staff leadership, hospital leadership, and operational departments.
• Serves as a resource and advocate for providers, addressing concerns and facilitating appropriate communication and resolution.
• Develops provider engagement, recognition, feedback, and process improvement opportunities.
• Coordinates quarterly medical staff meetings that provide meaningful organizational information, encourage discussion, and identify opportunities to better support providers.
• Facilitates collaboration between providers and operational departments through presentations, data sharing, feedback, and improvement initiatives.
• Supports provider retention by identifying and reducing non-clinical administrative barriers.
• Coordinates and manages the CME program, including Category II CME, presentations, documentation, accreditation requirements, and budget.
• Supports providers in maintaining licensure, board certification, and professional development.
• Develops and coordinates provider education related to compliance, documentation, quality metrics, regulatory changes, clinical best practices, and organizational priorities.
• Incorporates appropriate education into provider onboarding and ongoing professional development.
• Coordinates student rotations and affiliation agreements to ensure SPMC, school, and student requirements are met.
• Manages student schedules and onsite capacity and maintains required documentation and communication with participating programs.
• Develops and maintains provider activity reports, credentialing metrics, quality and performance data, dashboards, and other medical staff reporting.
• Provides data and reports for medical staff committees, leadership, quality initiatives, and organizational decision-making.
• Maintains and optimizes medical staff software and related systems, including implementation, workflow improvement, automation, and data integrity.
• Supports Epic, Jira, Confluence, and other systems and reporting requirements associated with Medical Staff Services.
• Participates in medical staff operational excellence, quality, and improvement projects and identifies opportunities to improve efficiency, compliance, provider experience, and organizational outcomes.
• Researches regulatory changes, industry trends, and best practices and recommends appropriate changes to processes, policies, and programs.
• Engages internal and external partners to advance Summit Pacific Medical Center's mission, vision, and strategic priorities.
• Participates in professional organizations, committees, workgroups, and projects relevant to Medical Staff Services.
• Serves as a subject matter expert and resource regarding medical staff services and provider-related processes.
• Maintains confidentiality and exercises sound judgment when handling sensitive provider, medical staff, and organizational information.
• Builds trust and effective working relationships with staff, providers, leaders, and organizational partners. Promotes collaboration, alignment, and constructive resolution of conflict.
