About The Position

The role of the Office Manager I is to assist the Branch Manager I and the sales team in efficient operations of the Branch. This role oversees the general administrative functions and activities of the office. Responsibilities include but are not limited to employee record keeping, order and route reconciliation, office and facility maintenance, and customer relations and management. The role of the Office Manager I is to enable an efficient Branch. A key component of this role is in establishing and maintaining great customer and employee relations. Requirements

  • Must demonstrate good judgement when carrying out duties as assigned.
  • Proficient in Microsoft Office Suite or related software.

Nice To Haves

  • Associate or Bachelor’s degree in related field preferred.
  • Experience in wholesale distribution and sales preferred.
  • Prior experience working with a union contract preferred.

Responsibilities

  • Execute upon day-to-day operations of the Branch Office.
  • Serve as a point of contact concerning product information, availability, and pricing.
  • Compile route receipts and reports for associated departments.
  • Provide support for resolving any issues with driver’s hand-held devices.
  • Respond to customer inquiries via telephone and/or email, taking customer orders as appropriate.
  • Manage vendor pricing and purchase orders.
  • Process dock sales and make route load adjustments.
  • Responsible for the daily bank deposits and reconciliations.
  • Maintain excellent customer service relationships.
  • Responsibility for timekeeping system and payroll processing accuracy and reporting.
  • Responsible for understanding and partnering with resources to implement union contract provisions (ex: rate increases, overtime requirements, vacation scheduling).
  • Compile, review, and process bills for the Branch Manager approval.
  • Ensure successful route uploads and generate load sheets.
  • Responsible for all materials for courier pick-up and distribution.
  • Maintain supply inventory for the office and facility.
  • Facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
  • Provides clerical support as needed such as answering phones, sorting and distributing mail, and preparing documents.
  • Maintains office files, providing an efficient system for accessing files and records.
  • Establish and maintain professional relationships with coworkers, customers, and parent company.
  • Perform other duties as assigned.
