About The Position

Reporting to the Senior Director of Operations, the Manager of House and Box Office Operations is the logistical anchor for Japan Society’s public programming. This role directs front-of-house operations, manages the master facility calendar, oversees ticketing systems, and directly supervises the small but dedicated Visitor Engagement, House Services, and Security teams. We are seeking a highly organized and action-oriented operational manager who committed to improving the visitor experience through their work, thrives under pressure, and drives seamless cross-departmental execution.

Requirements

  • 3–5 years of direct experience in venue operations, box office management, or event production.
  • Direct supervisory experience required; proven ability to manage, train, and schedule frontline staff effectively.
  • Operational experience within a museum, arts institution, or culturally specific performing arts space.
  • Bachelor’s degree or equivalent ground-level operational experience.
  • Fluency in ticketing software, point-of-sale systems, and modern project management tools.
  • High-velocity problem-solving skills with the ability to maintain clarity, command, and exceptional customer service under pressure.
  • Ability to work on-site at Japan Society’s Midtown Manhattan headquarters.
  • Legal authorization to work in the United States (Japan Society cannot provide visa sponsorship for this role).

  • Conversational fluency in Japanese is a strong asset, though not required.

Responsibilities

  • Direct the operational planning, scheduling, and ground-level execution for all public programs, receptions, and institutional activities.
  • Manage the master facility calendar, allocate space efficiently, and communicate schedule updates across the organization to prevent operational collisions.
  • Coordinate vendors, security, audiovisual services, and catering, acting as the primary interdepartmental liaison to resolve logistical bottlenecks in real time.
  • Determine building hours in consultation with Operations leadership and enforce health, safety, and security protocols across the public space.
  • Oversee all Box Office operations, ensuring precise and timely event builds and structural setup within the ticketing system.
  • Collaborate with Program and Marketing departments to structure group sales, tours, and promotional codes.
  • Diagnose and resolve escalated customer service issues, continuously tuning box office protocols to streamline the user experience and eliminate administrative drag.
  • Recruit, train, and directly supervise Visitor Engagement Associates, House Services, and Security staff.
  • Design efficient staffing schedules that protect operational coverage while optimizing labor allocation.
  • Evaluate team effectiveness and provide the resources and context necessary for frontline staff to confidently support the institution.
  • Process department invoices, manage expense allocations, maintain vendor relationships, and oversee mailroom and office supply operations.
